Heartwood is located in the town of Jeffersonville, NY – a charming village nestled in the agricultural area of Sullivan County at the foothills of the Catskills.  Through our businesses, we aim to bring joy, support and fulfillment to our community.

Heartwood is the parent company of ten businesses in the Jeffersonville area that span from retail to restaurants to office space. We are seeking an experienced office administrator to assist us in the day to day management of these businesses. The administrator reports directly to the two owners.

Title: Administrator

Job Description:

• Paying bills and entering receipts and expenses into Quickbooks for all businesses
• Weekly reconciliation of bank accounts 
• Daily bank deposits, getting change for all cash drawers
• Onboarding of new employees
• Interacting with our service providers: insurance agents, suppliers, servicing companies
• Running weekly payroll
• Other activities as events warrant

Skills required:

• This person is at the center of the business and must be a friendly team player
• The ability to listen to employees, customers, owners and service providers and relay that information to other parts of the organization is key to the ability to succeed in this role
• We use technology. Our administrator must be comfortable using google suite, including email, chat, video conferencing
• This job has significant accounting responsibilities, and knowledge of accounting and experience with Quickbooks is a must
• The administrator handles payroll (with oversight). Honesty and integrity are core aspects of this role
• Curiosity, the ability to learn new things and initiative and determination are necessary for success

This is a highly dynamic position and the right person will be comfortable dealing with unexpected events and have a can-do attitude.

Compensation: we offer competitive benefits and healthcare. The expected salary range for this position is $58,500 to $75,000. This is an exempt position and does not offer over-time pay.
