Office Services Assistant supports office administrative functions and processes with assistance, backup, and coordination duties. Assists with planning and coordinating office-wide processes such as facilities maintenance, space planning, moves, equipment installations, and other events or projects with internal and external stakeholders. Being an Office Services Assistant monitors inventory and places orders for office equipment, supplies, or provisions. Processes mail, invoices, employee expense reports, reimbursements, and petty cash. Additionally, Office Services Assistant tracks time reports, attendance or time cards. May act as backup for receptionist, phone coverage, or assist HR activities such as employee onboarding, interview coordination, training initiatives, and other special projects. May be responsible for performing company database or system administration tasks, including data input, reporting, user support, and upgrades. Addresses routine day-to-day problems or coordinates with stakeholders to obtain solutions. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Office Services Assistant works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job. We are looking for someone who:
Can use Quickbooks to create invoices, record payments, log expenses, pay bills, create reports for profit and loss and other monthly reports.
Can generate collection letters and follow-up with phone calls.
Prepare forms used in applications for immigration benefits with USCIS and the National Visa Center.
Answer phones;
Meet with clients regarding application preparation;
Purchase supplies, and
Prepare for filing cases with USCIS by mail.
Hours will be 8:30 to 5:00 M-F
Qualifications
- Proficiency in QuickBooks for bookkeeping tasks
- Strong organizational skills to manage office tasks efficiently
- Experience in data entry and maintaining accurate records
- Familiarity with Microsoft Office for document creation and management
- Excellent phone etiquette and customer service skills
- Ability to handle administrative tasks effectively
- Prior experience in legal office settings would be advantageous
- Knowledge of clerical duties such as filing, typing, and proofreading
- Ability to coordinate projects and events as needed
