Office Services Assistant supports office administrative functions and processes with assistance, backup, and coordination duties. Assists with planning and coordinating office-wide processes such as facilities maintenance, space planning, moves, equipment installations, and other events or projects with internal and external stakeholders. Being an Office Services Assistant monitors inventory and places orders for office equipment, supplies, or provisions. Processes mail, invoices, employee expense reports, reimbursements, and petty cash. Additionally, Office Services Assistant tracks time reports, attendance or time cards. May act as backup for receptionist, phone coverage, or assist HR activities such as employee onboarding, interview coordination, training initiatives, and other special projects. May be responsible for performing company database or system administration tasks, including data input, reporting, user support, and upgrades. Addresses routine day-to-day problems or coordinates with stakeholders to obtain solutions. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Office Services Assistant works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job. Description
A family office supporting an active couple with three adult children and
multiple properties (domestic and commercial) seek a personal assistant and
project/property manager to support ongoing needs.
Job Duties
This is a 40-hour per week position Monday-Friday. Access for emergencies
and special needs outside of regular hours is a requirement.
The person holding this position will be based at an office in downtown
Louisville to oversee the following:
● Maintenance, staffing and specific projects at multiple properties
overseen by the Family Office, including:
o A small office building in downtown Louisville
o A primary residence in Louisville
o A family farm property in Henry County, Kentucky
o A family property in Massachusetts
o Other planning and construction projects
● Updating and maintaining shared calendars between family members
● Communication and correspondence (via multiple formats) on behalf of
family members
● Assistance with shopping, packaging, and shipments, including storage
and shipping of fine art collection
● Overseeing IT matters (with outside contractor)
● Travel planning
● Occasional backup support with pets and household matters
