Position Summary

We are seeking a highly organized and dynamic Executive Assistant to provide comprehensive support to our Chief Design Officer and Package Development & Design team. This role will be instrumental in ensuring the smooth operation of projects, facilitating seamless communication, and contributing to the overall success of our brand’s product lineup. This role reports directly to our Chief Design Officer, supporting all tasks needed and management of the office.

Responsibilities:

• Provide top-tier administrative support to the Chief Design Officer and Package Development & Design team, including:
  • Calendar management
  • Meeting coordination
  • Travel arrangements
• Input and manage expense reports for the Package Development & Design team, ensuring accuracy and adherence to company policies and procedures.
• Collaborate with cross-functional teams on sample needs for various purposes such as photo shoots, filming, and retailer engagements. Ensure timely delivery and coordination of samples to support project timelines. 
• Act as a primary point of contact for internal and external stakeholders, with a focus on supporting Chief Design Officer for all tasks and office management. Serve as liaison between the Package Development & Design team and other departments, fostering clear and efficient communication channels. 
• Manage all incoming and outgoing packages to the office, including the creation and management of Fed-Ex labels for the team.
• Work with the Package Development & Design team to ensure the most time-sensitive items are highlighted for immediate review.
• Assist in managing relationships with packaging suppliers and vendors. Coordinate sample requests and quality assurance checks to ensure adherence to brand standards and specifications. 
• Handle sensitive information with the utmost confidentiality and discretion. Exercise sound judgment in managing confidential documents, communications, and interactions. 

Requirements:

• Bachelor's degree in Business Administration, Marketing or related field preferred. 
• Proven experience in an executive support role, preferably within the cosmetics, beauty, or luxury goods industries.
• Excellent communication and interpersonal abilities, with the capacity to interact professionally at all levels.
• Proficiency in Google Workspace, and Microsoft Office suite.
• Ability to multitask and prioritize in a fast-paced environment.
• Demonstrated ability to maintain confidentiality and handle sensitive information and discretion. 
• Experience in beauty/cosmetics a plus
