UBMD Neurology is seeking a Patient Care Coordinator/ Phone Coordinator to work at our administrative office located at 1010 Main St. Buffalo, NY 14203. The schedule will be Monday through Friday 08:00 AM – 04:00 PM.
Duties include but are not limited to, answering incoming calls, assist patients with questions or cancelling or rescheduling appointments, and distributing calls to the appropriate personnel while providing general customer service. The role requires exceptional communication and customer service, along with comfort in a fast-paced setting. Candidates must possess 1-2 years of experience in customer service or call center preferably in a medical office setting. Proficiency in general office tasks such as faxing and copying and required and experience with EMR systems is preferred.

UBMD Neurology offers extensive neurological evaluation, diagnosis, and treatment for both adults and children across a broad spectrum of neurological conditions. Located in Buffalo and Williamsville, our services include EEG, EMG, neuropsychological testing for adults and children, an infusion clinic, and neuroimaging interpretation, closely connected with Buffalo General Medical Center and Oishei Children's Hospital under Kaleida Health.
Job Summary:
The Patient Care Coordinator (PCC) is responsible for handling and appropriately distributing incoming calls for UBMD Neurology patients.
Essential Functions:
- Responsible for answering all incoming calls in a professional, timely, and courteous manner at all times.
- Assists patients with questions regarding their appointments, testing, etc.
- Responsible for scheduling, rescheduling, and canceling all patient appointments which includes, but is not limited to, retrieving and validating relevant insurance coverage to ensure validity and accuracy.
- Responsible for returning calls to patients promptly.
- Responsible for handling all faxes and mail in a timely manner (if applicable)
- Distributes calls to an appropriate clinic(s), medical secretary(ies), and/or handles independently.
- Ensures that all questions are addressed before transferring patients if unable to assist.
- Maintains all incoming worklists from providers when referring patients for new patient specialty appointments and/or testing.
- Utilizes Hypercare system as needed when a provider is urgently needed.
- Reviews and addresses daily tasks as assigned.
- Responsible for taking non-clinical messages for providers and/or medical secretaries.
- Complies with all OSHA regulations when in a clinic setting.
- Adheres to HIPAA and confidentiality policies and procedures.
Other Functions:
- Assists Medical Secretaries with rescheduling patients as needed or requested.
- Reviews company email on at least a daily basis in order to receive and address notifications and/or other pertinent information in a timely manner.
- May be required to travel to other UBMD Neurology locations dependent on company need.
- Any other duties as requested or assigned by the Medical Office Supervisor, Clinic Manager and/or management representative.
Qualifications:
- Education: High School diploma or GED required.
- Experience: Two (2) to three (3) years’ experience working in medical reception and/or customer service, preferably in a clinic setting. Medical Assistant and/or clinical training/experience preferred.
- Knowledge, Skills & Abilities: Medical terminology preferred. Knowledge of various medical tests and services preferred. Knowledge of various insurances and procedure codes helpful. Excellent communication and multi-tasking skills required. Experience with scheduling software preferred. Ability to listen carefully, professionally and effectively. Ability to remain calm and compassionate at all times.

Pay: $17.00 - $18.00 per hour
