Payroll Administrator is responsible for the accurate preparation, documentation, distribution and reconciliation of payroll and the administration of the payroll system. Reviews the computation of pay and associated deductions for accuracy. Being a Payroll Administrator maintains up-to-date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understands and follows applicable provisions. Prepares required tax filings and other reporting. Additionally, Payroll Administrator may coordinate payroll processing with an outside service provider. Responds to and resolves any inquiries regarding paychecks or payroll reporting. Ensures payroll issues are escalated and resolved promptly. May require an associate degree or equivalent. ```Job Summary```
We are seeking a detail-oriented and experienced Payroll Administrator to join our team. The Payroll Administrator will be responsible for managing all aspects of payroll processing, ensuring accuracy and compliance with company policies and regulations. This role requires strong technical accounting skills and experience with various payroll software.
Duties include but are not limited to:
Process weekly payroll for approximately 40 painters:
1.) Import payroll records from FieldEase (web based integrated payroll software).
2.) Review and edit imported payroll records as needed.
3.) Manage wage garnishment, child support, and miscellaneous deductions for painters.
4.) Reconcile weekly hours totals from field input, time & material work orders and submit an ACH File to the bank.
5.) Track weekly apprenticeship/ELJ hours & last date worked.
6.) Manage yearly payrate increases & deductions according to the current bargaining agreement.
9.) Process monthly fringe fund benefits and submit to Fund Administrator
10.) Maintain employee computer profiles & employee personnel files.
11.) Process unemployment paperwork
12.) Process verification of employment requests
13.) Generate weekly certified payroll reports in addition to monthly EEO
reports.
13.) Submit “New Hire” reports to the State of Minnesota as necessary.
Job Cost Posting:
1.) Calculate cost & post paint & sundries listed on timesheets, weekly.
2.) Process Inventory adjustments from paint and sundries taken from the shop inventory and out to the job on Stock Requisitions.
3.) Update & maintain inventory items & pricing in our integrated software system.
Accounts Payable:
1.) Match purchase orders with all project-related payables including material, equipment, and subcontractors and post accordingly.
2.) Review payables for correct tax rates and process accordingly.
3.) Balance payables to the vendor’s monthly statement.
Billing:
1.) Request project numbers from General Contractors, calculate and submit all Time & Material billings.
Project Management Support:
1.) Calculate & submit change order requests on “Extras” to contract projects.
2.) Compile technical data documentation and paint/wallcovering colors for Warranty and Project Closeouts and submit to General Contractor.
Miscellaneous:
1.) Primary phone reception.
2.) Order pants for painters.
3.) Give the mailman a donut.
4.) Make reservations.
5.) Compose and send communication to the field via Memo or Formal Letter.
6.) Train new Field tablet users.
7.) Send Flowers
Requirements:
- Bachelor's degree in Accounting or related field preferred
- Minimum of 3 years of experience in payroll administration
- Strong knowledge of payroll laws, regulations, and best practices
- Proficient in ComputerEase/FieldEase or similar payroll software is a plus
- Experience with technical accounting tasks such as account reconciliation and general ledger reconciliation
- Excellent attention to detail and accuracy
- Strong organizational and time management skills
- Ability to maintain confidentiality of sensitive information
- Excellent communication skills, both written and verbal
