Position Summary
The Physician Relations (PR) Coordinator (Business Administrative Associate) serves as an integral piece of the Medical Staff Services team, cultivating the physician experiences through onboarding, retention and wellness efforts. The PR Coordinator works in collaboration with the Physician Relations Manager, Medical Staff Services Leadership, and members of Medical Staff and Chief Medical Office leadership to identify initiatives to increase physician engagement and ensure physicians have the tools to successfully navigate their dual role as a physician and employee within the organization. This role encompasses additional duties related to the enterprise-wide on-call scheduling system. The BAA will be responsible for ongoing database maintenance needs and upgrades in collaboration with Information Services and the approved vendor, as well tracking and reporting of data within the system. The BAA will work closely and communicate with stakeholders to ensure the overall success of the software and system and support us.
Duties & Responsibilities
Facilitate monthly sessions and contribute to content of the New Physician Orientation Program.
Serve as the administrator of the University Wide Physician Onboarding Program, includes holding each participating area accountable for their required efforts and processes to ensure onboarding occurs in a timely manner. Present opportunities for improvement to appropriate Leaders.
Facilitate and contribute to the development of New Physician Leader Orientation program designed for newly elected Medical Staff Officers and Delegates.
Serve as a key content expert as part of the Physician Wellness Program, in collaboration with the Physician Relations Manager, Chief Medical Office and University Health Services, to offer a comprehensive offering of education and other opportunities to better the health and wellbeing of the Medical Staff.
Round on both newly appointed and established physicians with goal of keeping physicians satisfied and engaged.
Populate database of physician encounters, needs, issues and their resolution; shares activity with key stakeholders to facilitate necessary resolutions and participates in process improvement initiatives.
Develop and maintain collaborative relationships with Clinical Chiefs of Service and Department Administrative Officers in order to increase communication between the Health Colleges and Medical Staff.
Provides support for the annual Physician Engagement Survey.
Communicates Medical Staff needs, responsibilities and requirements to the general Medical Staff, including but not limited to annual LMS completions, Flu Shot Compliance, BLS Training and updates from the State Licensing Boards.
. Collaborate with the Office of Continuing Medical Education to Identifies opportunities for CME programs based on state licensing and accreditation requirements.
Collaborate with the Office of Graduate Medical Education to identify opportunities for retention of trainees following program completion(s).
Collaborates with Marketing to ensure an accurate listing of Physicians are represented on the Hospitals inter and intranet sites.
Ensures Practitioner Direct Contact Information is appropriately represented on the Hospitals Intranet site.
Ensure all Medical Staff and APP distribution groups are updated to ensure accurate dissemination of information.
Serves as a liaison between the Medical Staff and Medical Staff and Chief Medical Office Leadership to improve physician relationships and patient care.
Other Physician Relations duties as assigned.
On-Call Scheduling Software
Train new and existing staff on QGenda Software.
Ensure on-call schedules are published and up to date in QGenda.
Responsible for department level action items, including communication regarding call tasks and their impact to the system.
Ensure regular communication between on-call schedulers, operators and other consumer groups early and assist with issue identification/resolution.
