Essential Job Functions: Assists in ensuring quality control, integrity, confidentiality, timeliness, and security of all records management information; researches and resolves records issues; assists in preparation and timeliness of state/federal crime reports; maintains police department supplies and inventory control; insures continuous workflow in an effort to keep all data entry current; provides police legal advisor with accurate information which allows for appropriate response to subpoenas; maintains paper file storage records; assists in ensuring open records compliance and serves as the custodian of the records when the Records Supervisor is not available; keeps supervisor abreast of problems encountered; communicates and works well with management; assists with NCIC/TCIC compliance and reporting; assists in the assignment of day-to-day operations; assigns work to employees when needed; provides monthly productivity reports, work schedules, and tracks time for the supervisor’s review; performs extensive research; oversees work flow of imaging; assists in compliance of court orders, subpoenas, and open records requests; maintains complex material; performs any job duties handled by technicians; assists in keeping Records Management documentation of policies and procedures current; responds to citizen or police personnel requests; performs audit of inventory control process; requests purchase of any items needed; provide training to assigned staff; responsible for inputting and handling payroll; oversight of open record requests for department; manages subpoenas for open records which includes testifying in court as necessary.

Works indoors in an open office environment; is exposed to constant noise and sometimes hostile public. Periodically required to retrieve files in an old jail. Must be available to work any shift as needed including weekends and holidays, overtime as needed.
Knowledge: Knowledge of modern office and supervisory practices, computer and clerical policies, procedures, and equipment; English, spelling and arithmetic.
Skills/Abilities: Ability to type with high accuracy 30 wpm; ability to communicate effectively both orally and in writing; ability to understand and follow oral and written instructions; ability to perform mathematical calculations; ability to perform some supervisory duties; ability to perform complex research and prepare detailed reports; ability to handle multiple tasks simultaneously; ability to establish and maintain effective working relationships with other employees and the general public; ability to operate a PC, scanner, printer, multi-line telephone, 10-key adding machine, and copier; ability to make decisions and use independent judgment; ability to take initiative; should be proficient in Windows and Microsoft office products.
Physical Requirements: Constantly sees and hears; frequently operates a PC, types, performs data entry, sees, sorts and sits, kneels, walks, stands, writes by hand, carries, holds, lifts, pulls and pushes objects weighing up to 25 lbs., squats; infrequently operates a calculator, climbs and drags objects weighing up to 25 lbs.
Education/Experience: Graduation from high school supplemented by advanced training in office/clerical procedures; five (5) years’ experience in responsible clerical work including data entry for centralized computer, operation of a PC; Microsoft Office and Word for Windows experience preferred; supervisory experience preferred.
Skills test administered. Applicant selected for hire will be subject to a background investigation, polygraph for security clearance and drug/alcohol screen test.
