The Scheduling Coordinator is the “face” of our team and creates the first impression for each patient, whether in person or on the phone. This position facilitates the patient’s experience by greeting patients, scheduling appointments, answering the phones and coordinating financial arrangements. The Scheduling Coordinator is in charge of confirming appointments and coordinating any necessary follow up. The Scheduling Coordinator’s goal is to keep the office organized and running smoothly while exhibiting a positive countenance to every patient experience.
Facilitate Patient Experiences by:
- Answer incoming calls including: new patient calls, emergencies, scheduling patient appointments, requesting records and coordinating follow up.
- Welcome and greet patients as they are checked in and out.
- Assist the financial coordinator with financial arrangements between patients and insurance.
- Educate patients about treatment needs and present treatment plans.
- Learn about dental insurance to assist patients in utilizing their benefits.
- Receive patient inquiries, address them if possible or direct them appropriately.
- Work with new and existing patients to facilitate records requests/transfers, referrals and re-referrals.
Scheduling:
- Develop and maintain doctor and hygiene schedules.
- Create and manage the following lists: Quick Call, Pending Treatment, Unscheduled Treatment, and Overdue Hygiene.
- Confirm upcoming appointments.
Miscellaneous:
- Maintain the front desk, reception room.
- Keep patient paperwork up to date.
- Lead morning huddles.
- Run schedules for the next two days
- Print route sheets for the next day
- Complete other tasks as delegated, while assisting the team facilitate an excellent patient experience.

Requirements:
- Previous experience working with phone systems and scheduling is preferred
- Familiarity with dental terminology and knowledge of dental procedures is a plus
- Strong communication skills

- Ability to multitask and prioritize tasks in a fast-paced environment
- Proficient in computer systems and data entry
Job Type: Full-time
Pay: $19.00 - $22.00 per hour
