JOB QUALIFICATIONS:
- High School Diploma/GED, Associate’s degree preferred
- Minimum of one or more years of general office work with experience in bookkeeping and using office equipment
- Proficient computer skills
- Strong interpersonal relation skills are essential including the ability to maintain strict confidentiality, the ability to work positively with a professional staff with diverse personalities and the ability to interact positively with students, parents and the community
RESPONSIBILITIES: The nature of responsibilities outlined is a reflection of the job description and not an exhaustive list of all responsibilities and duties
- Professionally represent the school and the District in all interactions with parents, community, staff and students including: face-to-face, email, social media and in written communications
- Perform general office duties including answering multi-line phones, monitoring door bell and buzzing visitors in, greeting the public, typing, filing, sorting, scheduling appointments and handling incoming and outgoing mail
- Establish bookkeeping system and maintain it to ensure an accurate accounting of internal and external monies and accounts
- Order supplies, prepare purchase orders, pay invoices, and prepare reimbursements for staff and any other duties associated with ordering / paying for supplies
- Maintain building administrative, personnel and student files (e.g. CA60s, financial, central supply, special activities, evaluations, MICR reports, etc.)
- Manage purchase requisitions and purchase orders, receiving verifications
- Assist designated health care paraprofessional in providing supervision of students in health room, evaluating student injuries, performing minor first aid, contacting parents, in compliance with District policy and completing required paperwork in a timely fashion, as needed
- Input data for computer scheduling, class lists, grade reporting, attendance, special education and other reports which are computer generated and maintained
- Sign in substitute teachers, provide subs with needed attendance, and reconcile all absences for third-party vendor payroll processing
- Prepare accounting records for end-of-year audit
- Assist in preparation of reports and related department material including bi-annual pupil accounting, drop/add students and monthly student count report for Superintendent
- Maintain communication and support with other building level secretaries throughout the District
- Manage building use schedule
- Perform other related duties as assigned by the Principal
