Additionally, Secretary requires a high school diploma or its equivalent. Typically reports to a supervisor or manager. The Secretary possesses a moderate understanding of general aspects of the job.     Roles and Responsibilities

    Position Overview

    The Board of Trustees Secretary will provide confident and consistent support to the Board of Trustees. Extracts key information from meetings and takes detailed minutes. The role encompasses a wide variety of administrative and executive duties and special projects leveraging a broad range of skills with a high degree of initiative in managing a variety of responsibilities in a fast-paced environment, while serving as a trusted partner with high integrity.

    Duties

    • Attends all meetings of the Board of Trustees (BOT)
    • Keeps an accurate and permanent record of the proceedings of the BOT and publishes minutes of meetings as required by law
    • Schedules regular/special meetings of the BOT and prepares, together with the CEO and President of the BOT, an agenda setting forth all known items of business to be considered at the meeting as well as information and memos delineating the substance of the agenda items
    • Coordinates district business, meetings, and BOT Meeting packets as necessary
    • Disseminates all information regarding BOT meetings to BOT members, schools, administrators, and other interested citizens in a timely manner and in accordance with state law
    • Maintains all records of the BOT and ensures their safekeeping and availability for public inspection in accordance with state law and district policy
    • Secures and facilitates the distribution of information between the CEO, the BOT, district employees, the media, and the public

    Preferred Qualifications, Skills, & Abilities

    An Associate’s Degree but Bachelor’s Degree is preferred with an emphasis in English, Communications, Public Relations, Community Education, or Business Administration. At least five (5) years of secretarial experience preferably in a school Board/Superintendent environment. Strong technological experience. Strong knowledge with virtual platforms, i.e. Zoom and Google Meets. Extensive knowledge and ability in the areas of public relations, writing, communications, office management, organization, and business machines. Technical and organizational skills. Works with discretion and confidentiality.

    Skills, & Abilities

    • Ability to cultivate strong, collaborative relationships internally and externally
    • Strong proficiency in Google environment as well as Microsoft Word, Excel, and other database programs
    • Excellent writing, editing, and proofreading skills
    • Excellent organizational skills with multi-tasking capability
    • Meeting, calendar, time, and event management experience
    • Ability to handle confidential information and act with discretion
    • Ability to use independent judgment in performing the responsibilities of the position
