    Job Description

    The Alumni Events Coordinator plays a crucial role in strategically engaging alumni, parents, and friends of Idaho State University (ISU) through the planning and execution of various programs, projects, and events. By fostering meaningful connections and providing tangible benefits to both alumni and current students, the coordinator contributes to strengthening ISU programs and advancing the university's goals.

    This position works closely with university partners and the broader community to establish and nurture pathways for alumni participation, ensuring the continuous growth and success of Idaho State University. The Events Coordinator reports directly to the Associate Vice President for Alumni and Government Relations and Advancement Communications.

    Key responsibilities include:

    • Planning and executing diverse alumni events, social gatherings, fundraising initiatives, and board meetings
    • Coordinating the rental process for the ICCU Bengal Alumni Center, serving as the main point of contact for potential renters
    • Assisting interested parties in completing rental agreements and coordinating event logistics
    • Maintaining accurate records of rental agreements, payments, and event details
    • Providing on-site support during events, addressing inquiries and ensuring a smooth experience for renters and guests
    • Collaborating with the Alumni Relations and Advancement Communications team to promote the rental venue
    • Evaluating and improving the rental process and customer experience based on feedback
    • Managing administrative tasks related to alumni events, including procurement, payments, and coordination with vendors
    • Establishing and monitoring event budgets, ensuring financial records are maintained
    • Overseeing on-site management of alumni events and providing necessary assistance to attendees
    • Collaborating with the AVP and other team members to evaluate event effectiveness and implement improvements
    • Responding promptly and professionally to inquiries from event attendees, demonstrating excellent customer service
    • Maintaining accurate event details and updating the alumni database with attendee information
    • Assisting in the development and distribution of promotional materials to engage alumni and event attendees

    Minimum Qualifications

    • At least one year of administrative or business experience, or experience organizing events, social schedules, conferences, etc., or equivalent combination of education and experience
    • Strong communication skills, both written and verbal
    • Demonstrated commitment to providing excellent customer service

    Preferred Qualifications

    • Proficiency in budget management, including establishing and maintaining event budgets and monitoring financial records
    • Familiarity with alumni engagement strategies and best practices to enhance the participation and satisfaction of alumni attendees
    • Experience with event scheduling software to effectively plan, schedule and manage alumni events
    • Prior experience in facility scheduling, including coordinating bookings and managing inquiries from individuals and organizations interested in renting event spaces
    • Proficient in using database systems to maintain accurate event details
    • Familiarity with event promotion and engagement techniques
