  • Job Summary

    The Executive Assistant to the Senior Associate Pastor will serve as a member of the Lead Pastor’s administrative staff and assist in various duties as assigned by the Senior Associate Pastor. Assist with the logistical, communication, and planning needs of the Senior Associate Pastor and assist in accomplishing the priorities of the lead pastor’s office.

    Essential Responsibilities & Duties

    • Coordinate all travel for the Lead Pastor or Senior Associate Pastor including confirming the schedule, preparation (bios, notes, etc.), travel partners, transportation and lodging logistics.
    • Manage the logistics for guest speakers including travel, hosting, resource sales, meals and service preparation.
    • Coordinate the team for the Sunday Pastors’ breakfast at the James River Campus. This would include oversight of supplies in the Green Room and Board Room.
    • Coordinate meals hosted by the Lead Pastor’s Office (Executive Team, Preaching Team, Leadership and Spouses lunch, Sundays, guest speakers, special events, etc.).
    • Coordinate baby dedication services including preparation and certificaties.
    • Assist the Associate Pastor with office communication (Facebook, email, blog, etc.).
    • Attend administrative budget meetings with Executive Administrative Assistant to Lead Pastor.
    • Read through sermon notes; make sure live production has a copy of notes and all pictures, proofread notes and pictures before service. Convert notes to PDF and forward to email list. On Wednesdays, convert notes to PDF and send to live production.
    • Serve as back-up for the Executive Administrative Assistant to the Lead Pastor.
    • All general office duties (correspondence, phone calling, computer tasks, scheduling appointments, mail, email, ordering of supplies, maintaining a filing system, etc.).
    • Compose letters when requested and assure all correspondence is mailed in a timely manner.
    • Be the liaison between the Senior Associate Pastor and JRLC, Creative Team, Pastoral Care, Community Care and Benevolence.
    • Performs other related duties as assigned.

    Job Requirements

    • Two (2) years of secretarial and general clerical experience; OR
    • Any equivalent combination of training and experience.
    • Prefer prior experience as a copy editor.

    Knowledge, Skills & Abilities

    • Knowledge of modern office methods and procedures, filing, telephone techniques and office equipment, as well as English usage, spelling, grammar and punctuation.
    • Prefer the applicant have experience using the following programs: Microsoft Word, Microsoft Excel, Microsoft Publisher, Corel WordPerfect, and Twitter.
    • Ability to communicate effectively orally and in writing.
    • Exhibit good judgment, honesty, integrity, responsibility and punctuality through the utilization of professional work standards.
    • Decision making and problem solving abilities.
    • Maintain a high level of confidentiality.
    • Detail-oriented, accurate, ability to multi-task and handle frequent interruptions.
    • Ability to perform secretarial and clerical duties with speed and accuracy without immediate and constant supervision.
    • Ability to establish and maintain effective working relationships with supervising personnel, co-workers, civic organizations, business professionals and the general public.
