The Executive Administrative Assistant provides high-level administrative support to the Business Development Director by handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings with clients. This role also assists in preparing and sharing marketing materials and networking with prospective clients.
Essential duties include but are not limited to:
- Coordinates on and off-site meetings with visitors and prospective clients.
- Prepares any and all documentation in advance of client meetings.
- Prepares proposals for prospective clients from information provided by the Business Development Director.
- Attends public events to establish connections with potential clients.
- Prepare and tracks contracts with prospective clients, keeping a detailed log.
- Works with the Business Development Director in documenting and corresponding with partners on updates to marketing material.
- Ensures all marketing material are current, stocked, and available for distribution to potential clients.
- Arranges corporate travel and meetings by developing itineraries and agendas; booking other transportation; arranging lodging and meeting accommodations.
- Conducts research and prepares information on projects assigned by the Business Development Director
- Maintain the tidiness and organization of the local office, ensuring all supplies are stocked, and devices are in working order.
- Coordinates and manages the Business Development Director’s calendar and keeps him/ her informed of changes.
- Organizes, prepares, and maintains all files for the Business Development Director.
- Prepares and coordinates all related tasks for associated companies, and in preparation of upcoming meetings of the Board of Directors.
- Assists in the development of social media posts, website blog posts, and internal and external newsletters.

Supervisory Responsibilities:
This position has no supervisory responsibilities.
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This role also requires local travel for offsite client meetings and public events.
Physical Demands:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Must be able to access and navigate each department at the organizations facilities.
Position Type/ Hours:
This is a full-time position. Business operation hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Some evening and weekend work maybe required.
Travel Requirements:
Local travel will be required.
Required Education and Experience:
- High School Diploma
- Advanced computer skills (MS Outlook, Word, Excel, PowerPoint, Adobe)
Additional Qualifications:
- Bachelor’s degree in Business or related field
- One to two years of related experience
