Job Overview:

We are seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant. As an Executive Assistant, you will provide administrative support to our executive team and contribute to the smooth operation of our organization. This is a full-time position based in our office.

Duties:

- Manage executive calendars, schedule appointments, and coordinate meetings

- Prepare and distribute correspondence, memos, and reports

- Assist with document management, including drafting, editing, and proofreading

- Handle phone calls and inquiries, directing them to the appropriate individuals

- Maintain office supplies inventory and place orders as needed

- Coordinate travel arrangements and accommodations for executives

- Conduct research and compile data for various projects

- Assist with event planning and coordination

- Perform general clerical tasks such as filing, photocopying, and data entry

- Learn and interact with insurnace customers

- Assist in Social Media Marketing

Skills:

- Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint)

- Familiarity with document management tools like DocuSign

- Excellent organizational and time management skills

- Strong attention to detail and accuracy

- Ability to transcribe meeting minutes accurately and efficiently

- Knowledge of phone systems and ability to handle calls professionally

- Experience with file management and maintaining organized records

- Strong data entry skills with a focus on accuracy and efficiency

- Computer literacy with the ability to quickly learn new software applications

- Previous experience as a personal assistant or front desk receptionist is a plus
