Description

Under general supervision, the DMS Administrative Assistant will be responsible for many tasks related to the collections department.  Must be a self-starter and someone who can think outside the box with limited supervision.  This position exists to perform a variety of support related to the collection functions within the credit union. The DMS Administrative Assistant will focus on a positive memorable experience with each member through prompt, friendly, courteous interactions while following credit union procedures. Work in this position requires implementing and running various reports. Provide consistent, exceptional service to internal and external members. Situations can move quickly from low volume of work to high volume quickly and can require flexible hours.

ESSENTIAL DUTIES          

  • Processing departmental incoming mail, logging returned, mail into Episys Core scan copy of mail to Synergy Client for record retention.
  • Distribute all incoming mail to designated counselors or repossession department staff.
  • Scanning in skip locator notices.
  • Processing Attorney and Agency invoices and checks monthly.
  • Assigning accounts and files to Collection Agency and Attorney’s and printing documents for upon request.
  • Knowledgeable about credit union products, services and the organization.
  • Order all office supplies from as needed.
  • Pull supporting documents to include VISA statements be mailed.
  • Check emails for insurance claims daily.
  • Handle and process E-Oscar Disputes and answer incoming direct disputes from members and scan dispute letters for record retention.
  • Pulling individual Tradelines from Equifax, Experian and Transunion to assist with working disputes.
  • Submit manual updates to CRAs for major account status changes.
  • Maintain current knowledge of CDIA guidelines for reporting and responding to disputes, including Metro2 knowledge according to the Credit Reporting Resource Guide.
  • Posting repossession funds from GL’s to members accounts.
  • Post repossession expenses to loans and crediting  Collection expense GL’s as needed.
  • Assist with balancing Collection expense GL’s.
  • Sending cancellation request letters for GAP and Warranty refunds to companies, following up with dealerships and GAP companies as needed.
  • Pulling title files, copy and scan necessary documents, prepare for FedEx, refile title files.
  • Sending  out manual notices and letters to include: repossession letters, borrowers response packages, breach notices, modification documents.
  • Assist with answering ACD calls as needed, transfer to counselors, assist members with making payment ACH or Debit card payments.
  • Log all incoming mail Bankruptcy mail on tracking sheet.
  • Process Bankruptcy Trustee payments,  Log and Scan checks , post each trustee payment to individual members accounts.
  • Work various daily Collection Exception Reports.
  • Back up Collections Analyst in daily delinquency reports.
  • Attend work regularly and according to work schedule; limit absences according to personnel policies regarding leave usage.
  • Interact with co-workers, supervisors, members and outside contacts in an appropriate, professional manner, which projects a positive image of the department and Andrews Federal.
  • Remain cognizant of and adhere to Andrews Federal policies and procedures, and regulations pertaining to the Bank Secrecy Act.
  • Performs other duties as assigned.

Qualifications


REQUIRED EXPERIENCE

  • 1 to 2 years of work related experience, in the finance or credit related industry preferred.
  • Two (2) years of administrative support experience preferred.
  • Excellent computer skills.
  • Strong listening skills.
  • Strong analytical & problem solving skills required, as well as the ability to utilize appropriate analysis, judgment, and logic.
  • Must possess sound judgment makes independent decisions for appropriate action to be taken within regulatory and procedural guidelines.
  • Ability to work well under pressure and with deadlines.
  • Excellent written and verbal communication skills required.
  • Self-motivated with the ability to complete multiple tasks with minimal supervision.
  • High attention to detail with exceptional organizational and time management skill.
  • Assist with departmental projects as needed.
  • Ability to learn and perform in a fast-paced environment.

PHYSICAL REQUIREMENTS

  • Ability to sit for extended periods of time. 
  • Ability to lift up to 20 pounds.
