What does an REC - Office Assistant do at companies like CITY OF SUN PRAIRIE?

Under the leadership of the Administrative/Recreation Programs Coordinator, the Office Assistant assists the Parks, Recreation & Forestry Department with general office operations, primarily answering telephones and handling walk-up registrations.   


Hours:  Hours may be flexible, but will generally be Monday – Friday from 12:30 pm – 4:30 pm; 20 hours/week. 


 
  • Review & maintains informational or operational records & files; answer the multi-line telephone and assists callers by providing information, taking messages, or routing calls to others. 
  • Receive and sort mail, interoffice correspondence, packages, and other communications while maintaining the appropriate level of confidentiality.
  • Manage any problems or emergency situations that may arise while at the office in the absence of the Administrative/Recreation Programs Coordinator and other division staff (i.e. safety, first aid, weather cancellations, upset parent, etc.)
  • Uses recreation registration program to manage and review programs scheduled. Receives payment from participants for programs and prepares receipts and accounts for all money received at end of the business day.
  • Assists with the creation and publication of the Rec Connection program guide.
  • Assists in developing, scheduling, and posting content for department social media accounts.
  • Development of program marketing materials.
  • Attend all required meetings and training
  • Other duties as assigned

Experience/Education:

  • High School Diploma or HSED or GED required
  • Previous experience office/clerical experience preferred 
  • Ability to type 40 wpm or higher
  • Bilingual in the Spanish language a plus (read/write/speak)

Skills, knowledge, or abilities needed:

  • Experience working in a recreational or educational program/activities setting is desired
  • Ability and willingness to understand and effectively carry out oral and written instructions
  • Ability to work unsupervised in an office setting
  • Ability and willingness to perform a variety of tasks
  • Ability to make decisions, prioritize tasks, and respond to continuously changing work demands.
  • Ability and willingness to keep accurate records and complete all necessary paperwork
  • Knowledge of office equipment, computers, and software, including Microsoft Office
  • Establish and maintain effective working relationships with other employees and the public in a courteous and tactful manner
  • Provide clear communication to and from supervisor and the public
  • Regular and punctual attendance.
  • Attend staff meetings and training sessions

Specific vision requirements for this job include close vision, distance vision, peripheral vision, and the ability to adjust focus.
