The Harold Grinspoon Foundation, a results-driven, entrepreneurial non-profit organization headquartered in Agawam, Massachusetts, is seeking an Executive Assistant/Project Coordinator for its Manhattan office. The Harold Grinspoon Foundation is a philanthropic organization deeply committed to ensuring a strong Jewish future.  PJ Library is HGF’s award-winning Jewish family engagement program that strengthens Jewish identities and serves as an outreach and family engagement vehicle for Jewish organizations.

 

 

General Description:

The Harold Grinspoon Foundation (HGF) is seeking an Executive Assistant/Project Coordinator who will serve as the Assistant to an HGF director while supporting Foundation leadership and teams with a range of projects and events.  This position will be an integral part of a fast-paced and dynamic team by assuming key administrative and logistics duties as well as jumping in to support a range of administrative activities.

 

 

Major Responsibilities

 

Executive Support

  • Manage Director’s calendar and schedule, coordinate meetings and appointments
  • Support Director with:
    • administrative details including meeting preparation, mailings and expense reports
    • domestic and international travel arrangements, logistics
    • writing and editing including letters, proposals, presentations
  • Manage planning and follow-up for trips and events, supporting Director and other Foundation leadership
  • Track deadlines and assignments for Director and assist in completion as needed

 

Project and Events Coordination

  • Support Director and team with planning and staffing events and select projects
  • Responsible for calendar management for Foundation-wide conferences and events.

 

Office Coordination

  • Organize meetings, presentations, and conferences for HGF.
  • Provide meeting logistical support (schedule conference space, order food, etc.)
  • Prioritize and manage multiple projects, and follow through on issues in a timely manner
  • Receive main office visitors and telephone calls, serving as the first point of contact for the Foundation
  • Maintain such office routines as record keeping, supply ordering, meeting coordination, and more
  • Generate reports and calculations using MS Office (Excel especially) and other programs.

 

 

Skills and qualifications

  • Must have 2 years of experience as an Executive Assistant or related professional experience.
  • Must be proactive and like supporting fast-paced staff
  • Demonstrate ability to work individually and with a team
  • Be extremely detail-oriented with good analytical, organizational, and written/oral communications skills
  • Possess a level of excellence in Microsoft Office products, especially Excel, Outlook, PowerPoint, and Word
  • Have a pleasant demeanor, tact with sensitive information and ability to work with a variety of professionals
  • Thrive in a fast-paced environment and handle multiple projects simultaneously
  • Have excellent time-management and organizational skills
  • Knowledge of Salesforce, Donor Perfect and/or Raisers Edge preferred
  • Interest in or knowledge of Jewish community preferred
