Duties/Responsibilities [The following reflects duties for this job but does not restrict the tasks that may be assigned. Management may assign or reassign duties and responsibilities to this job at any time for business reasons.] Serve as the point person for office manager duties including maintenance, mailing, supplies, equipment, bills, errands, shopping Schedule trainings, meetings, and appointments Organize the office layout and order stationery and equipment Maintain the office condition and arrange necessary repairs Organize office operations and procedures Coordinate with IT department on all office equipment Ensure that all items are invoiced and paid on time Manage contract and price negotiations with office vendors, service providers Manage office General and Administrative budget, ensure accurate and timely reporting Provide general support to visitors Administrative tasks related to Licensing and Contracting Maintenance (Primary) - Initial Licensing submissions, Licensing Renewals, Continuing Education credit tracking, Continuing Education enrollment, Carrier Certification Reviews and responds to daily internal/external mail; sends and receives faxes Composes, types, and distributes professional correspondence and memoranda, E-mails and faxes Coordinates calendar and schedules appointments and coordinates meetings and Employment Engagement Initiatives, including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities Orders office supplies Completes basic Accounts Payable tasks Demonstrates a high level of professionalism in dealing with confidential and sensitive issues Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing Track, monitor and update organizational charts and agents’ activity, including commission aggregation and reconciliation. Performs other duties and special projects as assigned by supervisor Qualifications Minimum Job Requirements Proven experience as an Office manager, Front office manager or Administrative assistant Knowledge of office administrator responsibilities, systems and procedures Proficiency in MS Office (MS Excel and MS Outlook, in particular) High School degree; additional qualification as an Administrative assistant or Secretary will be a plus Knowledge, Skills, and Abilities Hands on experience with office machines (e.g. fax machines and printers) Familiarity with email scheduling tools, like Email Scheduler and Boomerang Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills in a fast-paced environment A creative mind with an ability to suggest improvements Location - This position will be full-time in the office (NOT a remote position); flexible hours are required (may need to come in early or stay late some days).
