Responsibilities
- Discretely handle sensitive, confidential company and client information
- Perform in a fast paced, multi-cultural and changing environment by responding effectively to changes and deadlines; be readily accepting of new ideas and approaches; and able to act with a sense of urgency
- Have a positive, professional attitude and presence, ability to interact with many levels both inside and outside the organization.
- Work directly with building management and outside vendors for all facilities issues including access cards, use of public spaces, and other facility needs.
- Assist with onboarding of new hires to include studio orientation and upkeep of new hire reference guide.
- Assist project managers with Contracts, Sub-Consultant agreements, insurance requirements and other project related documents.
- Coordinate travel for all employees and maintain the office Out-of-Office calendar. Track usage and company vehicle and coordinate maintenance as needed.
- Have experience with event planning (company outings, parties, etc.) Be able to set up internal and external meetings, including catering set-up and clean-up
- Support Managing Principal, Director of Operations and Finance Manager by composing memos, letters, emails and other correspondence with little or no guidance
- Be willing and able to answer the phone and complete filing, typing, scanning, copying, printing, organizing files, decluttering spaces, etc. as needed.
- Assist in helping to maintain a clean and professional work environment
- Monitor inventory of office supplies and place orders for timely delivery.
- Ensure operation of office equipment by coordinating preventative maintenance requirements; follow manufacturers’ instructions; troubleshoot malfunctions; call for repairs; maintain equipment inventories; evaluate new equipment and techniques.

- Possess excellent Communication (both verbal and written) and interpersonal skills.

- Flexibility to work beyond normal business hours as required.
- Demonstrate the highest ethical and professional standards.
- Communicate in a direct and respectful manner with both internal and external clients.
- Have the desire and willingness to grow and learn.
- Possess advanced MS Office skills including MS Word, Excel, Outlook & PowerPoint and BlueBeam.
