Summary of Job Responsibilities
The Admission Coordinator manages the referral, interview, and intake process and procedures for the school. Working closely with the Director of Admissions and Marketing, they maintain contact with outside referral agencies (school districts) and review all individual student records to prepare a report for the Administrative team. They meet regularly with the Administrative team to determine acceptance of referred students and to plan for program needs based on current referrals.
ESSENTIAL FUNCTIONS
- Referral Process*
- Review and organize all referral materials, including student records
- Contact school districts, outside agencies, and parent/guardians in a timely fashion
- Schedule intake interviews with referred students and their families and supports in a timely fashion
- Maintain the Intake Database with up-to-date status of referred students
- Intake Interviews*
- Present a friendly and open demeanor
- Present the school in a positive light to students, families, and school districts
- Collect all necessary information regarding the students’ needs and services
- Intake Meetings with Administration*
- Summarize all relevant information in intake reports
- Present intake reports to the administrative team, highlighting essential information for discussion and review
- Assist the administrative team with eligibility determination
- Post-Eligibility Determination*
- Notify parent/guardians, school district, and other involved agencies of acceptance or rejection
- Communicate with the administrative team, teachers, clinicians, and related services staff of confirmed students
- Coordinate with the assistant principals to schedule Teams and Placement PPTs
- Work closely with incoming students’ primary team to share all pertinent information
- Work closely with incoming students’ school district to ensure that all required documents, including transcripts and current medical records, are received in time for review/approval by school nurses and HS assistant principal prior to start date
- Serve as a liaison to parent/guardian and agencies of incoming students during initial transition of student to school
- Marketing*
- Assist the Director of Admissions and Marketing with the marketing of all Solterra programming.
- Maintain a working relationship with school district personnel, families, and outside agencies
EDUCATION AND/OR EXPERIENCE REQUIRED
- Masters Degree in Special Education or a Related Services field.
- A minimum of five years’ experience in a special education environment, especially with students who exhibit severe behaviors.
- Familiarity with assessments.
LICENSE AND/OR CERTIFICATIONS REQUIRED
- State of Connecticut certification in Special Education or an area of Related Services preferred.
- CPR certification required within 90 days of hire (provided by Solterra Academy).
- Certification in Therapeutic Crisis Intervention required with the first training course provided after hire date.
Job Type: Full-time
Pay: $45,000.00 - $60,000.00 per year
