Position Summary:
The Intake Specialist is an integral part of our tax team. They are the first-person clients meet and speak with when entering the tax site. The Intake is responsible for ensuring a calm and positive environment while our clients wait to have their taxes prepared.
Essential Job Functions:
- Pull appointment report daily and contact client to advise of what’s needed to participate.
- Call client to confirm appointment and send video conference link.
- Greet clients at tax site or by video conference and ensure they meet eligibility requirements for tax services and have all documentation needed to complete their tax return.
- Check appointment list and verify clients ID and SS card(s).
- Interview client through video conference. Complete all required forms for tax preparation for each client including all consent forms.
- If needed, assist client in completing required IRS intake form completely and accurately.
- Create folder in DropBox to collect clients tax documents.
- Assign return to appropriate tax preparer based on certification level required.
Site Management:
- For in-person sites: Ensure waiting area complies with all IRS and host requirements and maintains client privacy and confidentiality.
- Daily check to ensure all IRS posters and materials are posted and visible to all clients.
- Track and manage site supplies.
- Promptly communicate to Site Coordinator any issues in the intake process or waiting area.
- For virtual End to End – monitor appointment system and assign client to appropriate site.

Experience and Education:
- Must be IRS certified Volunteer Standard of Conduct and Intake and Quality Review Process. (Single Stop will assist in providing guide on certification)
- Excellent customer service skills.
- The Intake Coordinator must be friendly, patient, and professional, able to manage a busy workplace with high client volume.
- Ability to multitask in a busy environment.
- Attention to detail with an emphasis on accuracy is important.
- Must be responsible, punctual, and reliable.
- Computer knowledge needed for making appointments and entering surveys.
