Department/Organization: 217101 - HES Dean's Office
Normal Work Schedule: Monday - Friday 8:00am to 4:45pm, an occasional night or weekend event.
Job Summary: Under limited supervision, assists the department head or director in the day-to-day operations of a program. Oversees the program support, general office, administrative and secretarial duties with some variety and complexity. Typical duties may include overseeing some aspects of the program, acting as the main liaison to other offices within the University as well as external contacts, maintaining budget records, supervising other support staff and-or students, arranging meetings-itineraries-agendas, typing a variety of material, compiling data and preparing reports, and purchasing office and program supplies and materials.
Additional Department Summary: Under limited supervision, performs confidential, administrative duties for four (4) Assistant and Associate Deans, and when required, for the Dean, with some variety and complexity. Uses discretion and independent judgment to handle day to day operations. Involves interacting with faculty, staff, student and parents. Will arrange all Assistant and Associate Deans' travel, meetings, itineraries, and agendas, compile data, prepare reports and financial forms.
Will also be assisting our Director of Development. Will be responsible for maintaining effective communication among CHES, UA, and all community and education stakeholders. Responsible for increasing and maintaining alumni relations for CHES, as well as planning and implementing special events. Will assist in communicating with donors. As part of these duties, will partner with our events team in events targeted for donors, alumni, and benefactor events. Will also be assisting with Bama Blitz promotion.
Required Minimum Qualifications: High school diploma or the equivalent and three (3) years of general office experience; OR Associate's degree and one (1) year of general office experience; OR a Bachelor's degree.
Skills and Knowledge: Ability to organize, prioritize, and perform multiple/diverse activities with limited supervision while maintaining confidentiality. Present a professional demeanor, communicate effectively, exercise good judgement, be very attentive to details, and a skilled multi-tasker. Quick learner, very responsible and a team player that takes initiative. Ability to use and working knowledge of various computer software packages including Microsoft Word, Excel, Outlook and PowerPoint.
Preferred Qualifications: Prior experience with Banner, Argos, CONCUR, buyBAMA, Digital Measures, and/or other UA software programs is preferred, but not required.
