Program Coordinator AP TIP Program.

The Institute for Educational Initiatives is home to many education-focused units and centers, including our signature program, the Alliance for Catholic Education (ACE). The Program Coordinator, AP TIP Program will support the work of the AP TIP Program.The successful candidate is energetic and a strong communicator (written and verbal) . The ideal candidate will have poise with the public , be flexible, and be a creative problem solver.
Overview: A full-time administrative position, the Program Coordinator will work with the Director and other members of the AP-TIP team.
Responsibilities include:
1. Coordinate various aspects of program activities. - Program registration, materials acquisition, professional development documentation, site management and reservation, travel logistics for participants.
2. Attend and provide support for program activities. - Set-up professional development sites, register participants, and serve as the on-site administrative contact for events like APSI and Mock Exam.
3. Provide logistical support to AP-TIP team members. - Help coordinate travel and material acquisition for school visits and professional development. Organize, format, and print materials, including mock exams for events.
4. Program accounting and expense reports: prepare reimbursement expense reports, prepare program deposits, request payments for program providers, teachers, students, speakers.
5. Responsible for event communications with internal and external stakeholders. - Email communications for participants registered for major events including APSI, Fall Conference, Mock Exam, RTCs, and SOSs.
6. School data acquisition in a secured environment. - Connect with district and school partners to access AP data and ensure the data is stored in a secure environment. This includes the paperwork necessary to ensure confidentiality.
7. Participate in select activities of the University of Notre Dame Center for STEM Education and the Institute for Educational Initiatives and other duties as assigned..
Minimum Qualifications:
Associates degree or up to 3 years of college or technical school
3-4 years experience
Ability to drive to various school districts throughout the state of Indiana.
Occasional lifting heavy boxes of materials required for position.
Preferred Qualifications:
The Program Coordinator is energetic and a strong communicator (written and verbal) and is experienced with using office productive programs, particularly Word, Excel and databases (e.g. Microsoft Access). This person will be the main source of contact for many school administrators and teachers. The ideal candidate will have poise with the public, be flexible, and be a creative problem solver. As AP-TIP works with teachers and administrators, experience with schools is helpful. AP-TIP supports and encourages OIT and Notre Dame systems training to help the candidate be proficient at this position.
