  • Responsibilities

    Willow Springs Center has an opening for a Payroll/AP Coordinator.

     

    This position is necessary to ensure timely accurate payment for services rendered which is key to building relationships with vendors in the community.  This position manages accurate payment to employees and any reporting which not only fulfills compliancy but also provides FTE reporting for budget management.  Timely, accurate data is the cornerstone to ensuring strategic decisions are made to guide the organization.

     

    Experience & Knowledge:

    • Knowledge of General Approved Accounting Procedures
    • Knowledge of Billing processes
    • Knowledge of General payroll elements such as social security tax, Medicare rates, FICA and FUTA base.

    Essential Job Duties

    • Keys in hours, PTO, ELB and other pay codes to payroll system; Processes payroll accurately by due dates-follow payroll policies, completes all forms, reports, verifications, etc. by applicable due dates, maintains backup for payroll actions (PAFs, PTO requests, etc.)
    • Manages Kronos system adds new employees as well as any changes associated with Kronos. Also performs maintenance as required.
    • Verifies PAFs entered.
    • Addresses payroll issues with employees, provides education to employees on payroll areas, provides education to those assisting with department level payroll.
    • Manages all invoices and ensures they are signed off by the manager or department head and that they are coded appropriately and that all supporting documents are attached and save in the appropriate place.
    • Does month end close reporting and Inputs accurate accrual information based on what is outstanding for the month. Also looks through paid invoices to see if there is any reclasses needed.
    • Reviews unpaid checks and submits claims to CFO to report to unclaimed property and stale dated checks.
    • Creates reports as necessary and ensures information is accurate and timely.
    • Performs other duties as assigned/required.

    Qualifications

    EDUCATION: High School Diploma or equivalent required. Associates or Bachelor's degree preferred.


    EXPERIENCE: 1-3 years payroll or accounts payable required.
