Office Manager oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an Office Manager typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, Office Manager coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The Office Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be an Office Manager typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes.     You will be responsible for overseeing the administrative activities of the organization.

    Responsibilities:
    Create, revise and implement office policies and procedures.
    Supervise front office workers by mentoring, training and developing them.
    Assist with HR duties such as time-card management, approval of PTO, announcements of policy changes, request for OSHA posters...etc.
    Provide administrative assistance to management team, including delegating tasks to maximize productivity, following up with projects to ensure deadlines are met, gathering and presenting reports as needed.
    Plan work events such as charity events, fundraising events, holiday parties...etc.
    Ensure stock level for office supply and equipment. Approve equipment requisition forms.
    Point person for facilities maintenance and for communications with outsourced service vendors such as IT, ground keeping, cleaning service...etc.
    Handle priority house accounts by processing purchase orders, quoting and invoicing for these few key accounts.
    Perform basic accounts receivable activities.
    Manage records and information.
    Encourage and improve cross-department internal communication.
    Perform other office tasks as needed.

    Qualifications:
    Previous experience in administrative services or other related fields
    Understanding of accounting/bookkeeping
    Expert in the use of Microsoft word, excel and outlook.
    Ability to prioritize and multi-task
    Strong organizational skills
    Deadline and detail-oriented
    Strong leadership qualities
    Excellent written and verbal communication skills
    Must be computer savvy and have the ability to learn and understand new software quickly.
    Proficiency in Netsuite a plus.
    Fluency in English. Proficiency in Spanish or Mandarin a plus.
