Office Manager oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an Office Manager typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, Office Manager coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The Office Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be an Office Manager typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes. This staff is responsible for the execution and oversight of daily billing, office administrative and some HR activities.

    Primary Duties and Responsibilities:

    Work individually or with our corporate accounting team on the following activities:

    • Work with Microsoft Business Central Accounting and ConnectWise PSA (Professional Services Automation) software.
    • Customer Invoicing
    • Maintain customer contact and financial information.
    • Setup sales orders, projects and agreements in Connectwise.
    • Process Payroll through UKG on a bi-weekly basis.
    • Process employee time and expense reports.
    • Manage collection, and allocation of payments.
    • Manage reconciliation of customer accounts
    • Monitor customer account details for non-payments, delayed payments, and other irregularities.
    • Investigate and resolve customer inquiries with billing and invoicing.
    • Assist with HR activities such as employee benefit programs, new employee onboarding.
    • Establish and provide training to employees on policies and procedures within the company as needed.
    • Perform other financial and accounting activities as required.
    • Assist in improving operational processes.
    • Work closely with the Finance team.

    Preferred Knowledge, Skills, and Abilities Desired:

    • Ability to multi-task and adapt to changes quickly.
    • Ability to work in a team and communicate effectively.
    • Skill in preparing written communications and materials.
    • Good with Office 365 apps including Microsoft Excel
    • Good understanding of accounting practices
    • Organized and detail oriented.
    • Ability to meet deadlines.

    Qualifications:

    • 5 years of office administration and management experience
    • Bachelor's degree in business or equivalent preferred
