Physician Residency Coordinator oversees the administration and scheduling of the physician residency program of a healthcare organization. Coordinates and facilitates the activities of the physician residents and provides the resources necessary to fulfill curriculum requirements. Being a Physician Residency Coordinator ensures physician activities comply with governing bodies such as the Accreditation Council for Graduate Medical Education (ACGME) or other applicable regulations. Supports the recruitment and selection process of resident physicians.   • The GW Medical Faculty Associates (MFA) was incorporated in July 2000 as a not-for-profit, physician-led practice group. The organization functioned as an independent organization in support of The George Washington University School of Medicine and Sciences as a multi-specialty physician practice group. The GW MFA has grown to become the largest independent academic physician practice in the Washington, DC metro region with more than 500 physicians and nearly 200 APP providers. In 2018, the MFA bylaws were revised to allow The George Washington University to serve as the sole corporate member while the MFA retained independent 501c3 status. The purpose of the change was to ensure alignment between the MFA and The George Washington University.

    MFA physicians provide comprehensive patient care, offering one practice for the whole person with 52 medical and surgical specialties. As members of the GW School of Medicine and Health Sciences faculty, MFA providers are teachers and mentors for medical students, residents, fellows, and researchers preserving the rich tradition of academics, research, and healing. In addition to maintaining a closely integrated alliance with The George Washington University and The George Washington University Hospital (GWUH) which is separately owned and operated by Universal Health Services (UHS), the GW MFA has active referring relationships with 12 area hospitals.

    The GW MFA’s leading healthcare presence in the DC metro region is complemented by a network of community-based practices in DC, Maryland, and Virginia. Given its geographic location in central NW Washington, DC, and proximity to more than 175 resident embassies, the MFA continues to evolve its international clinical outreach.

    Position Summary

    This position assists in the effective management of the George Washington University Department of Pathology Residency Program and Fellowship Programs, coordinates the programmatic requirements of the medical student educational program, and serves as the primary point of contact on all administrative matters pertaining to the Department Chair. Position reviews and assesses ACGME institutional and program requirements. This position requires the ability to independently manage the recruiting and other administrative activities of the Residency and Fellowship Programs.  Position must cultivate and foster an environment of support.  Provide a significant amount of information to residents and medical students as required. Ability to prepare and present reports and analyses for a variety of internal and external teams as required. Ability to handle sensitive and confidential matters with discretion and tact.  Ability to work with faculty members, other residency and student program coordinators and have effective communication with the Dean’s Office of the School of Medicine.

     

    Essential Duties and Responsibilities include the following: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

     

    1. Reviews and assesses current ACGME requirements for the Residency and Fellowship Programs and monitors for programmatic changes.

    2. Recommends and identifies to Residency and Fellowship Directors and the GME Office, curriculum changes that are required to meet new and changing ACGME requirements.

    3. Supports the Program Directors in the cultivation of education opportunities with affiliate organizations, community sites, and private physician groups through work with the GME office to obtain approval, address legal, financial and accreditation issues. Provide information and act as a conduit and initial contact for the Residency and Fellowship Directors and Associate Residency Director.

    4. Manages the recruiting activities for the Residency and Fellowship Programs, coordinates with NRMP or other match programs. This includes entering of our match list on the ROLIC system.

    5. Design program brochures, forms, applications, maintain social media platforms, etc.

    6. Act as a lead in the training and update of the ERAS (Electronic Residency Application Service) program. This includes reviewing and downloading applications, corresponding with residency applicants, and coordinating all aspects of the interview process.

    7. Advises in the development of the annual residency and fellowship budgets.

    8. Develops and implements residency and fellowship program policies in conjunction with the Residency and Fellowship Directors and the GME Office. Ensure program compliance.

    9. Counsels residents and fellows, as appropriate, on program requirements, policies and regulations.

    10. Develops and organizes the monthly resident and fellowship Pathology Department schedules as required by the program. This includes review of resident and fellows’ requests, scheduling and monitoring all of the affiliate schedules to ensure RRC shift compliance regulations.

    11. Assists the Program Directors in the development and maintenance of clinical case conference schedules, study group schedules, board review schedules, and journal club schedules for the year.

    12. Develops and maintains the resident yearly rotation schedule and monitors resident progress to assure compliance with the 36-month curriculum requirements necessary for graduation.

    13. Ensures the successful onboarding of new residents and fellows and offboarding of leaving residents and fellows.

    14. Ensures resident and fellow licensure for rotation to affiliates meets requirements.

    15. Facilitates the elective rotation process for both GW residents and visiting residents from outside institutions.

    16. Proctoring and scheduling of the American Board of Emergency Medicine In-Service Examination.

    17. Develop and provide program orientation on an annual basis.

    18. Write letters, reports, memos, etc. as required.

    19. Act as key-person for the ACGME site visit review.

    20. Coordinate all of the medical student elective courses in pathology medicine (PATH296, PATH98, PATH321) under the supervision of the Course Directors.

    21. Assist in the establishment, maintenance, and development of an effective web-site.

    22. Distribution, collection and assessment of the residency and fellowship feedback process.

    23. Organize and facilitate meetings between residents and fellows and the Program Directors.

    24. Maintain records in case of risk management or legal issues.

    25. Records CME purchases and assists with reimbursement in Concur.

    26. Responsible for the organization of the end of year party within departmental guidelines and budget.

    27. Manages an extremely active calendar of appointments for the Department Chair and prepares correspondence that is sometimes confidential.

    28. Communicates directly, and on behalf of the Chair, with various internal and external stakeholders, when approved as a delegate.

    29. Other duties as assigned.

    Education         

    A Bachelor’s degree is highly preferred.

                                                                           

    Experience        

    Three to five years of experience working with residents or medical students is highly desirable. 

    Experience in an academic environment - one year of which involved student personnel administration is preferred. 

    Must be able to work with a multidisciplinary team. 

    Must have excellent written and verbal communication skills.

    Must have excellent verbal and written communication skills. Must be able to communicate providing verbal feedback in a professional manner. Must be able to follow and understand instructions, and react favorably in all work situations.  Must have strong interpersonal skills and be mentally adaptable and flexible in dealing with a variety of people at various levels within and outside the Medical Faculty Associates (MFA).  Must be able to do math calculations and input data into the computer.
