RFP Manager oversees the development of proposals, bids, quotations, RFP responses, or other documents describing organizational products and services in response to requests from prospective clients. Manages and meets proposal deadlines by establishing project priorities and due dates for the proposal. Being an RFP Manager collaborates and coordinates with internal contributors and subject matter experts to ensure content is complete, accurate, and maximizes business opportunities. Develops and establishes a repository of templates, standard language, product collateral, exhibits, and other data resources to create high-quality and accurate responses. Additionally, RFP Manager establishes a tracking system with win-loss information. Reviews and analyzes RFP losses to recommend enhancements to products or processes. Typically requires a bachelor's degree. Typically reports to a director. The RFP Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be an RFP Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     We are seeking a highly organized and detail-oriented individual to join our team as a Marketing Operations Manager (RFP Database). This role is crucial in managing and maintaining our repository of responses. In this role, you will write, develop, maintain, and manage high-quality, compelling, accurate, and insightful content on the firm's products and services. You will also coordinate and oversee the completion of advisor/consultant databases and due diligence questionnaires, as needed and assigned. The ideal candidate will have a strong background in database management, exceptional organizational skills, and a keen eye for detail. 

    The Marketing Operations Manager (RFP Database) will be responsible for developing the strategy, processes, and recommendations for the continuous improvement of our RFP response library. This role ensures that all content is accurate, up-to-date, and easily accessible to support the business development and sales teams in crafting compelling proposals.

    What will you be doing?

    • Manage and Maintain RFP Database: Oversee the organization and updating of the RFP response library, ensuring all content is current and relevant. Create a content management calendar, to ensure content is always accurate and up to date.
    • Content Development: Collaborate with subject matter experts to develop and refine responses to RFPs, RFIs, and DDQs. 
    • Quality Assurance: Ensure all responses are accurate, consistent, and align with the company's messaging and branding. Continuously source new responses from RFPs and ensure that any new content provided by SMEs is in the database. As needed, complete peer reviews on in-progress RFPs. 
    • Database Optimization: Implement best practices for database management to improve efficiency and accessibility of information. Partner with the database vendor to ensure effective use of the tool. Implement new functionality, as needed.
    • Training and Support: Provide training and support to team members on how to effectively use the RFP database tool. Mentor team members on content sourcing and overall response knowledge.
    • Reporting: Generate reports on database usage and effectiveness, identifying areas for improvement, including expired, stale, or unused content. Archive content as needed.
    • Project Work: Assist with database upgrades, new features, and beta testing, as needed. Assist with and lead additional projects, including responding to RFPs, as needed or assigned.

    Requirements

    • Bachelor's degree in creative writing, communications, journalism, English, finance, business, or a related field. MBA or advanced degree preferred.
    • 5-7 years of proven experience in database management, with at least 2 years of database management in an RFP role required.
    • Familiarity with RFP database tools and software, specifically Responsive, Qvidian, and other similar tools is required.
    • Strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.
    • Excellent written and verbal communication skills.
    • Ability to work effectively with cross-functional teams, including sales, marketing, and product development.
    • Strong project management skills and the ability to prioritize tasks effectively.
    • Experience in technical writing, editing, and content development.

    The expected salary range for this position is $90K - $125K. Please note that salary bands are based on NY and other similar metro areas and may differ based on where the role is ultimately hired.
