  • POSITION DESCRIPTION:
    The Warranty Administrator closes and creates manufacturer’s warranty claims, manage claims after submittal. Maintain claims in database. Prepare parts for return and track parts for manufacturer. Prepares and sends out excel reports.

    HLAs – HIGH LEVERAGE ACTIVITIES (focus actions that will return the highest impact)
    1. Understand, communicate, and evaluate all vendor and International warranty guidelines, approval process and policies.
    2. Administer manufacturer’s warranty claims.
    3. Maintain claims in database.

    KEY RESPONSIBILITIES AND PERFORMANCE MEASURES:
    • Processes warranty claims on a timely basis for each franchise or distributor.
    • Processes all warranty paperwork to ensure proper documentation.
    • Verifies criteria required by factory or distributor.
    • Reconciles all warranty receivables with payments through the appropriate accounting schedule.
    • Posts credits on computer.
    • Resubmits all rejected claims promptly or receives authorization to write them off.
    • Follows up on payment of outstanding claims.
    • Tracks warranty parts by tagging with repair order number, date of replacement and date on which part may be disposed of.
    • Arranges for parts to be shipped to the factory or distributor or to be scrapped.
    • Files and maintains all service records as required by the warrantor.
    • Keeps informed of all factory recalls and bulletins.
    • Assists with body shop warranty claims as needed.
    • Assists with the cashier and telephone duties as needed.
    • Assists with any clerical needs as directed by management.
    • Maintains a professional appearance and a neat work area.
    • Performs other duties as assigned.
    • Other tasks as assigned.
    QUALIFICATIONS AND EXPERIENCE:
    • High school degree required.
    • Some college accounting is preferred.
    • Dependability and attention to detail.
    • Ability to learn quickly and to work independently.
    • Must meet deadlines.
    • Planning and organization skills; an ability to plan and manage multiple projects.
    • Excellent analytical and communication skills.
    • Ability to use various computer software, in a Windows environment.
    PHYSICAL AND ENVIRONMENTAL CONDITIONS:
    This position is located primarily in the office environment. Mobility of walking, standing and bending is frequent. While performing the duties of this job, the employee is frequently required to sit, talk, listen and use vision or corrected vision. The employee is occasionally required to walk; use hands and fingers to operate, handle, or feel objects, tools, or controls; and reach with hands and arms. Travel may be required.
