Under limited supervision, fulfills the responsibility of executive assistant to the Administrator and serves as secretarial support to the Board of Directors. Regularly performs complex and sensitive administrative tasks assigned and provides direction in the absence of the administrator. Serves as a resource in such situations for administrative office staff and formulates administrative documents and reports for the Administrator. Adheres to the mission, values and standards of excellence of Hawarden Regional Healthcare in all aspects of job performance.
ESSENTIAL JOB FUNCTIONAL COMPETENCIES:
1.
Demonstrates the knowledge and skills necessary to provide service/care appropriate to the age of the patients served, in accordance with Hawarden Regional Healthcare standards. Maintains a working knowledge of applicable Federal, State and local laws and regulations, the Compliance Accountability Program, Code of Ethics, and HRH policies and procedures, including all provisions of the Health Insurance Portability Act of 1996 (HIPAA). In order to ensure adherence in a manner that reflects honest, ethical and professional behavior by implementing the organizational vision, values, and mission.

Completes a wide variety of assignments, including highly confidential and sensitive correspondence for the Administrator and, when requested, for Executive Leadership.

Transcribes dictation and composes written communications, proposals, reports, policies, agendas and forms based on information relayed verbally. Proofreads and edits draft and final copy materials to ensure consistency and accuracy of the material.

Screens and redirects calls and visitors, arranges and coordinates meetings and conferences, and maintains the Administrator’s personal calendar.

Assists the Administrator in day-to-day administrative activities; assists in establishing priorities and maintains records of decisions made and/or actions taken.

Maintains regular communication with other hospital departments or units to ensure efficient processing of work, obtains and relays information and resolves problems; responds to a variety of inquiries which require considerable knowledge of hospital policy, procedure and operations

Uses initiative and judgment in Administrator’s presence and/or absence to see that matters requiring attention are delegated appropriately.

Makes travel arrangements for Administrator; to assure his attendance at all regional and corporate level meetings. .
9.
Serves as Facility and Regional Office contact person, i.e., Hawarden Regional Healthcare and Mercy Health Network.
10.
Maintains a professional, collaborative work environment so as to foster a positive public image for Hawarden Regional Healthcare. Resolves problems, obtains and relays information, and responds to inquiries or complaints in a manner requiring considerable knowledge of policies, procedure and hospital operation.
11.
Is responsible for preparation of agenda/materials and coordination of Special Executive Committee and Board meetings. Attends meetings, records minutes and coordinates all follow-up items (in-house, regional and corporate office processing of actions).
12.
Provides assistance as needed to Board officers and members for all board-related assignments. Makes all travel arrangements for Board-related travel and coordinates Board meeting attendance for members.
13.
Authors, updates and distributes Board orientation manual outlining Corporate/Board structures and relationships with affiliated agencies.
14.
Demonstrates general working knowledge of computers and department specific software (i.e. Healthstream, internet, etc.)
15.
Actively participates in departmental meetings, committees, conferences, and in services. Is knowledgeable of and complies with Safety and Infection Control Policies & Procedures. Participates in Continuous Quality Improvement activities as requested. Keeps up to date on new procedures and research. Maintains confidentiality of information pertaining to clients, physicians, employees and HRH business.
16.
Completes all mandatory training such as Healthstream, The Patient Experience, Safe Choices, Crucial Conversations and any other training as designated by Administration.
17.
Performs other duties and responsibilities as assigned.
