About the Development Assistant/Coordinator

The Development Coordinator is responsible for coordinating and managing day-to-day administrative activities of the Development Team and supporting related tasks in the Finance and Operations Teams. This position has sound judgment and is detail-oriented, organized, flexible and thrives in a fast-paced environment. This position will work in 350.org’s office in Brooklyn.

Essential Duties:

Development Focus

  • Document and track incoming donations in Salesforce
  • Gather information from Executive Director and Program staff who have met with donors and update records in Salesforce with additional contact information and meeting notes
  • Prepare and send thank you notes and donation receipts to donors in a timely fashion
  • Upload data from third party donation websites, including PayPal
  • Encourage Monthly supporters to continue giving by emailing and calling them when their credit card expires
  • Create monthly donor bulletin
  • Assist team with running reports and tracking metrics
  • Working with Online Fundraising team to gather information about income and projections and enter it into the Revenue Tracker
  • Help with donor research via Foundation Center and Wealth Engine and present potential prospects to team members for review
  • Manage the team’s email inbox and respond to donor questions
  • Perform other tasks assigned by the Development Director.

Finance and Global Operations Support

  • Handle and distribute scans of all incoming mail to the Brooklyn office
  • Process incoming checks 
  • Verify and reconcile monthly income
  • Record incoming stock gifts, matching gifts, and bequests
  • Track incoming gifts and ensure pledges are received
  • Monitor restricted grants and work with Global Operations Team to ensure grants are being spent as agreed to and in a timely manner
  • Manage and review grant agreements, ensuring they are signed and approved, returned and filed
  • Manage and file all grant documents 
  • Coordinate purchasing for organizational enterprise accounts, including travel, computer equipment, and administrative office supplies for the Brooklyn office
  • Administer additional Brooklyn office facilities management functions

Minimum Requirements:

  • Bachelor’s Degree or equivalent experience
  • Minimum of two years related work experience
  • Excellent verbal and written communication skills
  • Computer savvy
  • Proficient in Mac OS and Google Platforms 
  • Proficient with Excel and MS Word, including merge letters 
  • CRM database system(s) experience, preferably Salesforce

Other Skills:

  • Experience with Action Kit
  • Organized, detail oriented and able to juggle competing priorities
  • Ability to maintain confidentiality and protect confidential information
  • Experience communicating with donors a plus
