The Order Management Specialist at 8x8 owns the order process from order creation through billing, in accordance with standard corporate and revenue policies. It is a fast-paced position, with daily time-sensitive issues that must be resolved prior to shipping / billing orders. A specialist will also monitor a customer-service based mailbox and handle any sales questions, invoice and payment concerns, provisioning issues, and shipment resolutions. The specialist position will partner heavily with several teams within Sales Operations, Sales, and Finance, including logistics, deals desk, and provisioning team to ensure customer satisfaction and order validity. Globally, our specialist is a problem solver who facilitates a smooth order process in the spirit of 8x8 values: delight our customers as a team who constantly strives to do the right thing.
· Ensure day-to-day order operations including all aspects of order processing and billing – quotes/contracts, PO requirements, fulfillment, invoices, etc. for completeness and accuracy.
· Act as a liaison with Sales, 3rd party vendors, Finance teams to ensure orders are processed correctly, shipped in a timely fashion, amended as needed, and billed correctly.
· Take actions to drive resolution of outstanding issues and point of escalation, which may require resolving issues making judgement calls.
· Establish strong relationships with Sales, Sales Support, Billing/Collections, Sales Operations, Revenue Accounting, IT and other internal resources as appropriate.
· Contribute ideas and innovations to improve upon existing systems, work processes and procedures.
Qualifications:
· 2+ years experience supporting a dynamic team or working within an Order Management team/organization.
· Bachelor's Degree in a related field.
· Well-organized; able to multiple tasks and prioritize in a high-pressure environment with minimal supervision; where it is key to have high level of critical and logical thinking and analysis, with a confirmed proficiency in researching and resolving processing and billing issues.
· Solid problem solving and time management skills.
· Demonstrate capability to interact, collaborate, and communicate effectively at all levels of the organization to ensure smooth and timely order execution and provide direction and clarity on steps to resolve order issues as needed.
· Exceptional listening, interpersonal, and strong communication skills, both written and verbal.
· Motivated self-starter and energetic in a fast-paced environment where flexibility is imperative.
· Experience with Order Management selling SaaS products
· Experience with NetSuite and Salesforce, as well as other CRM/ERP systems
· Google Suite proficient (Google Sheets, Google Docs, Google Slides and GMail)
· Able to work independently but understand it’s within a small, critical team; not afraid to ask questions often
· Extreme attention to detail
