Position Summary: Responsible for performing various payroll, billing and general accounting duties for Abilities in Motions Fiscal Department. Provides support in verifying timesheets. Also assists with bi-weekly and monthly billing.

Job Specifications:

Essential Functions (Primary Duties):

  • Under the general direction of the Payroll Billing Coordinator, provides support to the payroll and billing processes.
  • Assists with the initial timesheet verification procedures.
  • Updates information changes and communicates to other departments staff regarding changes (i.e. address and phone number changes).
  • Handles requests for timesheets and other forms (direct deposit forms, tax forms, payroll schedules, etc.)
  • Assists with research of duplicate timesheet errors and consistently reviews and responds to time entry system report of errors.
  • Effectively responds to consumers, SSWs and staff regarding payroll questions as dictated by the Payroll Billing Coordinator. Call backs are done timely (within 48 hours).
  • Assists department in answering consumer and attendant phone inquiries.
  • Matches paystubs with timesheets, verifies that hours paid equal to hours worked.
  • Verifies pay rate matches both billing and accounting systems.
  • Assist with billing entries.
  • Assist identifies billing issues
  • Inputs consumer case note information into computer database every time contact is made.
  • Assists with general administrative duties (i.e. filing, faxing, copying, etc.)
  • Other job duties as assigned.

Education/Relevant Work Experience:

  • An Associate degree or college related coursework with experience preferred.
  • Excellent computer skills with knowledge of Word, Excel, and Web-based systems.

Work Schedule:

  • During the first 90 days of employment, the Payroll/Billing Clerk is in his/her 90-day Probationary Period.
  • The Payroll/Billing Clerks schedule is Monday thru Friday 8:30 am-4:30 pm with a 30-minute unpaid meal break for a total of 37.5 hours per week.
  • Overtime is only approved by the Executive Director.
  • The Payroll/Billing Clerk will be required to attend all trainings and quarterly Agency All Staff Meetings.

  • Mental Demands: Stressful due to time constraints and multiple tasks//procedures occurring at the same time.
  • Work environment: The noise level in the work environment is usually moderate.
  • Manual Dexterity Required: Must be able to manipulate small electronic parts and controls.

  • This position requires compliance with AIMs written standards, including its Standards of Conduct and policies and procedures. Such compliance will be an element considered as part of the employees regular performance evaluation.
