Position Overview

Blackstone is seeking a highly motivated event registration manager who is a technologically adept individual to provide support in a fast paced corporate environment. The ideal candidate will possess the ability to wear many hats, be a team player, proactive, and have excellent communication skills. This function supports the event management through the building of registration websites, attendee management, rooming list management, ground transportation management and providing event reporting/analytics.

The main responsibilities of the Analyst will be to manage and assist in day to day workflow acting as the gatekeeper to the Events team, assuming the role as an “expert” in specific events software and keeping up-to-date on all emerging technologies, and taking on special projects that arise.

Responsibilities:

Events Technology:

Responsible for the successful project management and execution of registration components for all assigned meetings and events utilizing the Cvent Flex technology.

Responsibilities include:

  • Create event registration websites based on presented requirements
  • Maintain registration websites (manage change requests and updates)
  • Manage and execute event communications via registration website
  • Provide and schedule detailed reporting (ad-hoc, custom reports)
  • Provide post event reporting and analytics
  • Onsite registration and staff management where required
  • Work on ad hoc requests / projects as required
  • Work closely with Accounts Payable to ensure invoice/payment requests are properly processed
  • Event app support

Events Support:

  • Manage the registration email box and phone lines for all event inquiries
  • Responsible for packing/shipping of supplies to/from event destination
  • Creating and ordering signage/department supplies and other duties as assigned
  • Work closely with Accounts Payable to ensure invoice/payment requests are properly processed
  • Support event financial reporting
  • Helping support programs with registration components including but not limited to rooming lists, transportation manifests, travel logistics

Qualifications / Skills:

  • Bachelor’s Degree required
  • 4+ years of related experience within events / meeting planning / registration technology
  • Experience with Cvent (Lanyon/Starcite) required, DoubleDutch or Quickmobile event app, advanced Microsoft Office Suite – specifically with Excel
  • Must possess excellent written and interpersonal communication skills and be able to effectively communicate across all levels of the organization
  • Previous experience working in financial or professional services firms greatly preferred
  • Comfort in working with numbers with advanced excel skills a pre-requisite
  • Exposure to and knowledge of SAP Concur Expense a strong advantage
  • Candidate will possess a proven ability to build and maintain relationships, hold strong organizational skills and the ability to multi-task while maintaining high quality standards, great initiative, leadership qualities and the ability to work well within a group or alone
  • Exhibit strong work ethic, patience and a winning attitude
  • Able to travel when required to be on-site at events and / or troubleshoot remotely
  • Flexible and willing to work outside of normal business hours when needed
  • Must be self-confident, proactive, solutions-oriented and a creative problem solver
  • Exposure to and awareness of how corporate travel programs operate
  • Calm and collected under pressure
  • Pre-eminent customer service skills
