Primary Function

Provides operational support to deploying personnel within the Risk Managment Business Unit.  The Program Support Lead will work with project coordinators, operations teams, and corporate support functions to facilitate deployment operations. Reports to the Deployment Manager. Actively support and uphold the Company’s stated vision, mission, and values.

Essential Functions

  • Manages the daily deployment functions for all programs within the Risk Management Business Unit ensuring all available, qualified personnel are mobilized to the project to maintain contract compliance and billable slots are filled
  • Provides oversite on all Project Coordinator's activities assigned to the Risk Managment Business Unit, ensuring each program is effectively supported
  • Perform final quality control procedures to validate all deploying personnel meet the project requirements prior to mobilization to ensure billability to the project; requirements include training courses, medical clearances, security clearances, letters of authorization (LOAs), visas, weapons qualifications, and physical readiness test scores. If any requirements are out of date, manage the revalidation or recertification process prior to deployment.
  • Maintain and track labor catagory specific requirements for personnel ensuring compliance throughout deployments
  • Request travel for deploying personnel and validate personnel have required documentation for flights (tickets, letters of authorization, visas, etc.)
  • Assist in identification of personnel available on the bench who qualify for additional labor catagories 
  • Assist in the coordination with subcontractors providing pre-deployment training to faciliate the training of deploying personnel
  • Participate in the canine imports process including customs forms, customs letters, powers of attorney, etc.
  • Submit new hire personnel, maintaining personnel records within the Synchronized Pre-Deployment Operational Tracker (SPOT) system and renew expiring LOAs
  • Create and act as final quality control for LOA packets prior to submission to Department of State for review and approval
  • Create required deployment reports for clients and internal leadership teams
  • Assist in the management of personnel of leaves of absence including communicating with Human Resources and Facility Security to ensure security clearances and requirements remain current while absent from the project
  • Serve as CAC request point of contact, including submitting CAC request rosters to Department of State, completing CAC applications using the TASS system, submitting CAC applications, coordinating with personnel and the project to get CAC cards issued upon approval, and providing instructions/support for personnel completing CAC card issuance stateside
  • Coordinate with Accounts Receivable to provide project-related documentation for invoices to Department of State
  • Others duties as assigned by management 

Job Requirements

 

  • College degree in related field or equivalent relevant work experience performing administrative, data entry, QA/QC, records management, and information systems duties (Bachelor’s degree with two years of experience, associate’s degree with four years of experience, or high school diploma with six years of experience).
  • Intermediate user level of computer systems; Microsoft Office™ software (Word, Excel, PowerPoint and Outlook), database applications, and documentation control systems
  • Ability to quickly adapt with changes
  • Ability to clearly and effectively communicate company practices with executives, clients, and employees
  • Experience working on government contracts preferred
  • Must be able to follow detailed instructions in oral or written form
  • Must be able to pass a detailed background investigation
  • Must be able to function effectively in a normal office environment
  • ​Strong written and oral presentation skills

  • Excellent organization skills
  • Proven ability to work both collaboratively and autonomously
