The Legal & Compliance (Privacy) Administrative Assistant works closely with the Chief Privacy Officer and all members of the Enterprise Privacy Office (EPO) to support execution of regulatory and compliance related privacy operational and general administrative activities across the enterprise. The Administrative Assistant provides general administrative support to the EPO including supporting the development, implementation, and/or enhancement of policies, technology, processes, and a program covering the privacy of, and access to, protected health information (PHI), Personal Information (PI), and sensitive personal data in compliance with US federal and state laws (i.e. CCPA, GDPR, PIPEDA, and other relevant global privacy protection laws and regulations.
The Administrative Assistant should be able to work with a wide range of stakeholders across the Company and serve as a primary first point of contact for the EPO. The Administrative Assistant will manage daily activities and interactions across the EPO team. The role is responsible for project management across the EPO, tracking projects and deliverables, executive presentations preparation, handling expenses, calendaring, meeting logistics/planning, and other core administrative tasks such as printing, supply orders/replenishment, and other operational program logistics.
What will be my duties and responsibilities in this job?
Extensive use and mastery of O365 suite including Microsoft Teams, Outlook e-mail, Power Point, and Excel; these tools will be used to collaborate within the EPO and with other internal and external stakeholders across Change Healthcare
High level of awareness and understanding of all EPO owned tools (e.g. Radar and OneTrust) to help support first-level technical triage and administrative support of the privacy tools and technology stack at Change Healthcare
Support the preparation of a wide range of EPO communications from daily operations up to and including Board level materials and slides; preparing reports and presentations, meeting agendas, drafting and editing correspondence and executive communications
Track and manage status of EPO projects, deliverables, due dates, and reports including coordination with owners, tracking status updates, preparing reports, burn down charts and updating Smartsheet workflows and trackers
Collection, organization, and preparation of EPO owned materials and communications with internal and external stakeholders to support EPO projects, deliverables, due dates and reports
Meeting planning and logistics including virtual, on-site and external meeting coordination, facilitation, and agenda support
Expense processing and reporting through on-line systems, credit card reconciliation, and related tasks
Supporting the preparation of executive level reports and supporting the maintenance of privacy metrics dashboard in Spotfire or similar tool
What are the requirements needed for this position?
HS Diploma, Vocational Training, Professional Certification or Equivalent; an AA degree or higher is preferred
3 - 5 years of experience providing advanced administrative support to legal professionals; law firm, privacy or regulatory experience preferred
Strong capability to develop presentations, including advanced working knowledge of PowerPoint
Expert level written and verbal communication skills, strong decision-making ability and attention to detail, including the ability to draft, edit and proofread high level documents and correspondence
Acute discernment and intuition, ability to handle with confidentiality and discretion all facets of the Enterprise Privacy Office program
What other skills/experience would be helpful to have?
Substantive legal experience including knowledge of and administrative experience supporting teams that manage HIPAA, GPDR, and other federal, state, and global privacy protection laws and regulations
Background in project management, with strong prioritization and time management skills – ability to manage competing priorities in a fast paced, agile environment
Privacy Certification(s) such as CIPP/US, CIPP/E, CIPM, CIPT, or OneTrust Certification is a plus, but not required
Experience with Smartsheet is preferred

Travel requirement: currently a remote position but travel to Atlanta area offices may be required when approved by Company to be back in-office (i.e. between Alpharetta and Buckhead) for team meetings and day-to-day work
