What does an Human Resources Administrative Assistant do at companies like CHILDREN'S RESCUE FUND?

PRIMARY FUNCTION/PURPOSE:

Assist in the administration of the day to day operations of the Human Resources functions and duties.  Contribute to the accomplishment of the Human Resources practices and objectives that will provide an employee-oriented, high performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment and recruitment in accordance with applicable laws.     

ESSENTIAL DUTIES AND RESPONSIBILITIES including the following.  Other duties may be assigned.   

  •   Provides administrative and works cooperatively with team members to support completing the Human Resources Department work plan and actively participates in the department’s strategic planning sessions.
  •     Assists with drafting employee correspondence, such as letters of offer, employment agreements, memorandums and other correspondence as required.
  •     Assists with assembling material for orientation sessions for all new employees, and ensures that required employee information is obtained and secured within the employees’ personnel file.  
  • Respond to various inquiries regarding former and current employees, such as unemployment, loan application verifications, FMLA, PFL and disability forms, employment references, etc. Maintain a copy of inquiries and response in employee’s personnel file.
  • Responsible for reviewing and coordinating all garnishments…prepare documentation(s) to be sent to all interested parties. 
  • Maintains and provides reports to supervisors for probationary ending periods and annual performance appraisals due dates.
  • Maintain a tickler system for additions and deletions to our License Renewal Report.
  • Assists with the coordination of Human Resources training activities.
  • Maintains filing systems for all active and terminated employees.
  • Preparing documentation for the Sr. Human Resources Generalist for exit interviews with all departing employees.
  • Maintain compliance with Children’s Rescue Fund, Federal, State and Local government and funding agency policies, procedures and regulations.   
  • Maintain up to date listings of employee birthdays, 401(k) members and non-members, TB Testing and Background/Fingerprinting.
  • Enrolls in administrative and professional development activities.
  • Ensure that the strictest of confidentiality is maintained at all times.   
  • Any additional duties and activities and designated by the Director of Human Resources.   

MINIMUM QUALIFICATIONS:  

Education:  A Bachelor degree preferred or Associate degree. 

Experience:  Minimum of two (2) years general business experience; human resources experience preferred.  Previous experience in the delivery of human resources is an asset.  Must have excellent written and verbal communication skills; interpersonal skills.  Must be proficient in the use of MS office, Database, Spreadsheet and E-mail applications (Outlook).
