Under strict supervision, perform specialized clerical, customer service, fiscal and record-keeping work related to operations of a courts-related department, section or assigned work unit. Employees undertake a wide range of duties and are required to be cross-trained to learn and fulfill the requirements of more than one job. All employees must be able to attend court and satisfactorily perform the tasks associated with the assigned proceeding.

The Court Clerk I classification is used as an entry level position. Work is strictly monitored as the Clerk I applies knowledge of basic and commonly used work methods and techniques to perform routine work while learning to perform the full range of related tasks in the work unit.    The following duties are normal and expected for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Enter new cases into the case maintenance system.

Receive, review and process court documents in the case maintenance system through e-filing, and the mail.

Prepare documents as required by law.

Back-scan case files into the case maintenance system.

Prepare for and hold auctions for foreclosure cases.

Attend court to coordinate and assist in courtroom proceedings; accurately record case dispositions, court orders, continuances, and costs assessed in court proceedings.
 EXPECTED KNOWLEDGE AND ABILITIES

Knowledge of:
  • Office procedures, methods and equipment. (immediately)    
  • Cashiering operations, collection documentation and procedures. (immediately)    
  • Clerk's programs, functions, departments, and services to appropriately respond to service requests. (within 6 months of employment)    
  • Clerk's record keeping systems, practices and procedures. (within 6 months of employment)

PHYSICAL REQUIREMENTS

The physical demands described are part of the essential functions of the job and must be met by the employee to successfully perform the job.
  • Sitting and working at a computer for prolonged periods of time    
  • Accessing file cabinets, storage systems, filing areas and/or rooms for the purpose of retrieving/filing documents    
  • Going to other departments and/or offices on different floors and/or buildings throughout the day to deliver and retrieve files and other relevant paperwork. This may require the ability of be able to push and maneuver a cart with files in it.    
  • Transporting/transferring/lifting and carrying files, documents and office supplies up to 25 lbs.    
  • Standing, walking, squatting, bending, kneeling, stooping, stretching, climbing and reaching above shoulder level
WORK ENVIRONMENT

Work is performed within a busy office environment or courtroom. At times, it requires working under challenging conditions, handling a variety of personalities as well as internal/external customers. Work requires the employee to be able to handle diverse tasks simultaneously with frequent interruptions and distractions. Regular attendance and punctuality in reporting to work and returning from lunch and/or breaks in accordance with the Clerk's policies and adherence to established work schedule is required. Employees must be able to work overtime when needed including being available for shift and/or weekend work.

QUALIFICATIONS & SKILLS

Education: High School Diploma or GED required

Experience: Minimum of 6 months – 1 year of clerical, customer service, banking, paralegal, criminal justice or other related work experience.

Skills: Proficiency in Microsoft Word, Excel, and other court-related software programs as necessary.
