Facilities Supervisor

Overview 

The New York office is where members of the senior management team are located as well as other key functional groups. Maintaining an efficiently run and professional corporate environment for employees, management, clients, customers, vendors and visitors is critical to the success of the organization. 
 

Responsibilities:

• This is a hands-on role.
• Supervise daily activities of the Receptionist and ensure that all communal areas such as office areas, pantry, bathrooms and meeting rooms are kept clean and in proper order & presentable. Coordinating with cleaners as needed. 
• Maintain and establish office operation procedures for Facilities department.
• Assist with coordinating meetings in the Waltham office and ensure all logistics are handled properly.
• Manage security system/badges
• Coordinate and negotiate the provision of all services including but not limited to UPS, vending machines, coffee and other kitchen related services.   
• Liaise with other offices (Waltham/London) to coordinate planning of meetings, access to the office and other special requests.
• Manage and maintain ticket requests to ensure work orders are properly distributed and completed.
• Manage contracts and points of contact for all office service vendors.
• Understand bid proposals, contract evaluations, C.O.I requirements for the building management.
• Assist & work with the HR team in coordinating new hire/termination process.
• Work with the building management for all fire safety issues and trainings for all departments.

Minimum Experience:

• 5 years of experience managing a busy office. 
• Experience with purchasing procedures.
• Intermediate level of MS office software programs such as calendar management
• Great written and verbal communication

It would be great if you also had:

• 7+ years managing a large, fast-paced office (more than 250 employees) in a corporate environment with diverse and demanding needs.
