Taylorville Correctional Center is seeking a highly motivated, detailed oriented person to serve as Account Technician I in the Business Office. This person will be responsible for maintaining accurate records, processing vendor invoices, posting receipts, serves as facility cashier, maintaining facility inventory control including receiving/issuing inventory reports and processing requests to surplus/recycle/dispose of inventory, as well as assist facility payroll and trust funds staff. Essential Function 1

Carefully checks vendor invoices against the appropriate receiving reports examining invoice for billing errors corrects vendor invoices when necessary
1. records data on vendor invoices, assigning correct purchase order line item to the item off invoice and enters these forms into logging system and Systems Applications Products (SAP) as required.
2. Periodically and routinely analyzes Systems Applications Products (SAP) and reports, Enterprise Resource Planning Software (ERP), Statewide Accounting Management System (SAMS) and AssetWorks reports, checking for errors or problems and reconciles records as needed.


Essential Function 2

Processes vouchers.
1. Assigns required voucher numbers for vouchers from log.
2. Audits vouchers for errors and other information and makes corrections or notifies appropriate staff of required corrections if necessary.
3. Enters vouchers in SAP/ERP and equipment purchases in AssetWorks/Inventory System.
4. Enters/processes items for inventory, including receipts/issues/equpiment transfers, etc.

Essential Function 3

Serves as facility cashier.
1. Records and prepares receipts for cash receipts for all facility funds.
2. Prepares deposit slips and places deposits in locking bank deposit bags for daily deposit.
3. Distributes receipts and copies of recipts to appropriate staff.
4. Reconciles accounts with cash boxes and outgoing MSRs.

Essential Function 4

Provides backup and assistance to Account Technician I Payroll and Account Technicians Locally Held Funds and Trust Funds as required.

Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.


Minimum Qualifications 1

Requires knowledge, skill, and metnal development to two (2) years of college AND completion of an approved training course OR three (3) years of related clerical bookkeeping experience.

Minimum Qualifications 2

Qualifying state employees in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.

Preferred Qualifications 1

Prefers at least two (2) years of experience maintaining accounting records.

Preferred Qualifications 2

Prefers at least two (2) years of experience processing receiving reports, vendor invoicing and obligating documents.

Preferred Qualifications 3

Prefers at least two (2) years of experience with System Applications Products (SAP) and Statewide Accounting Management System (SAMS) or similar accounting management systems.

Preferred Qualifications 4

Prefers at least two (2) years of experience working with Microsoft Office Suite or similar programs.

Preferred Qualifications 5

Prefers at least two (2) years of experience maintaining inventory control and working in an inventory control system software such as AssetWorks.


Preferred Qualifications 6

prefers at least two (2) years of experience working with the laws, rules and regulations relating to basic state governmental accounting procedures and/or non-state accounting procedures.
