Position Summary:
The Program Assistant will assist all team members to ensure that all functions of the department are being completed daily. This includes Quality Improvement, Safety and Compliance activities that support all corporate operations. The program assistant will have good communication skills and the ability to independently handle projects with limited supervision. They will be responsible for various monthly reports with accompanying deadlines. The Program Assistant will have strong problem solving skills and the ability to follow governing program regulations, while collecting direction from various sources.
Duties and Responsibilities:
Quality and Risk Management
· In conjunction with department leadership, facilitate daily department huddles, weekly IRC and Corporate Compliance meetings, completes minutes for all meetings in attendance. Works closely with program leadership to identify containment actions, root causes, improvement opportunities.
· Maintains all Incident and Corporate Compliance files on a daily basis, ensures all documentation is filed and maintained according to state regulatory committees and agency policy and standards.
· Interfaces with all state regulatory incident management systems, including but not limited to IRMA, NIMRS, WISR. Has extensive knowledge of systems and can problem solve all issues that arise
· Provide data and inputs to dashboards and reports, creates trend analysis based off data provided by the team
· Perform other quality duties as assigned
Project/Process Improvement
· Ensure that deliverables, deadlines, relevant data and the progress for projects are visible and Meaningful for all stakeholders.
· Special Projects as assigned
· Manages the daily operations of the QA office, to include but not limited to; office supply, office equipment, maintenance of the QA files.
Regulatory Compliance, Accreditation and Safety
· Assist the team in managing external reviews across the organization. This includes accreditation surveys (CARF, etc.) assist and support the team during the surveys, maintaining the department’s files and documents, conducting drills, etc.
· Serve on agency-wide committees for improving safety, security and emergency management, as assigned
· Attend and participate in internal and external meetings related to quality and compliance requirements on behalf of the leadership team, as needed
· Lead by example

Knowledge, Skills, and Abilities Required:
Must be able to:
· Pass a background check
· Pass a child protective services clearance
· Pass a drug and alcohol screening
· Present valid driver’s license and clean driving record
· Use standard office equipment such as computers, phones, photocopiers and fax machines
· Attend meetings, take notes, take minutes
· Possess excellent computer skills must be proficient with Microsoft Suite
