Job Summary:
We are seeking a hard working, motivated Event Operations Manager to join our team and play a key role in the growth and success of our company. The Event Operations Manager will be responsible for overseeing various aspects of our business operations, including new client sales, CRM management, employee scheduling, vendor relations, contracting, event planning, marketing, and warehouse inventory management. The ideal candidate must be ambitious, have an entrepreneurial mindset, be organized, hardworking, have incredible communication skills, and a passion for creating memorable events for our clients.
This is a hybrid position. You will be expected to be in person a few days a week at our office in Bala Cynwyd, PA.
Responsibilities:
- Manage and optimize the customer relationship management (CRM) system to enhance client interactions and maintain accurate records of client communications and transactions.
- Develop and maintain employee schedules to ensure adequate coverage for events and projects, while considering employee availability and skill sets.
- Build and maintain positive relationships with vendors, negotiate contracts, and manage vendor performance to ensure quality service and cost-effectiveness.
- Be the first point of contact for our prospects to help convert them into clients.
- Oversee the contracting process for events, including drafting and reviewing contracts, ensuring compliance with legal requirements, and managing contract execution.
- Coordinate event planning activities, including logistics, timeline management, and communication with clients, vendors, and team members to ensure successful event execution.
- Develop and implement marketing strategies to promote our services, increase brand awareness, and attract new clients.
- Manage warehouse inventory, including equipment maintenance, tracking inventory levels, and coordinating equipment pickups and returns for events.
- Assist with marketing efforts to grow the awareness of the Empower Brand
- Assist with logistics needed to setup and breakdown events and equipment.
Qualifications:
- Bachelor's degree in Business Administration, Operations Management, Marketing, or related field.
- 3 years of experience in operations management, sales, or related roles in professional services.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in CRM systems, scheduling software, and Microsoft Office suite.
- Ability to work in a fast-paced environment and multitask effectively.
- Creative problem-solving skills and a proactive approach to resolving issues.
- Knowledge of the entertainment industry and event production processes is a plus.
- Willingness/Availability to work weekends and reliable transportation.
