Strategically plan and execute meetings & events for the Neuromodulation Division at Abbott. Collaborate with Product Marketing, Sales, Education, Training and other key stakeholders to ensure business objectives and priorities are met. Meetings & event support to include CEV program (Customer Education Visits), National Sales Meeting, and other conference events. This position reports into the Manager of Conventions & Events under Global Marketing. 

Job Duties:

  • Manage Customer Education Visit (CEV) program assisting sales force with requests to bring in a customer for a day of education at one of the home offices located in either Austin or Plano. This includes maintaining the request website, agenda creation, coordinating travel, transportation & catering, and managing the program onsite
  • Ensure all stakeholders are included in the pre-event planning and maintain control over the event timeline and project deadlines. 
  • Venue sourcing to place the meeting or event with the appropriate meeting space and other specifications to support each program
  • Coordinate all logistics in association with a meeting or event including housing block, food & beverage, audiovisual equipment coordination, staff scheduling, registration site build, badges, meeting space specifications, offsite events and preparation of pre-event communications. 
  • Work closely with vendors to design or create event elements to support strategic objectives and program deliverables. 
  • Process a series of post event tasks that include timely payment of invoices, internal chargebacks, HCP(Healthcare Professionals) reporting, financial summary and attendee evaluations.
  • Work collaboratively with official corporate travel resources and partnerships in accordance with policy and procedure.
  • Maintain complete fluency and understanding of Abbott travel and spend policies and external regulatory guidelines like the Sunshine Act. 
  • Ensure ADVAMED and Sunshine Act guidelines are met with all meetings, including spend tracking for customer ancillary events.
  • Manage event budgets, monitor expenses, and managed event costs at or under budget.
  • Travel required, approximately 30%.
  • Support all Company initiatives as identified by management and in support of Quality Management Systems (QMS), Environmental Management Systems (EMS), and other regulatory requirements.
  • Comply with U.S. Food and Drug Administration (FDA) regulations, other regulatory requirements, Company policies, operating procedures, processes, and task assignments. 
  • Maintain positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors.
  • Perform other related duties and responsibilities, on occasion, as assigned.

General Qualifications

  • Bachelor’s degree in Marketing, Public Relations, Journalism, Advertising, Communications, English or equivalent preferred.
  • 3-5 years of progressively more responsible work experience in the field of conventions and event planning preferred in the industry of medical device, pharmaceutical, healthcare, IT or other similar field.
  • Track record of delivering measurable and engaging exhibit booth experiences. Demonstrates strong project management skills and also showcases a customer-service focused mentality.
  • Experience managing a budget encompassing multiple vendors, budget centers and payment terms.
  • Comprehensive personal computer skills including demonstrated spreadsheet, word processing and database management capabilities.
  • An entrepreneurial, take-charge, change-agent spirit is critical with a passion for working in the healthcare industry.
  • Ability to work in a highly matrixed and geographically diverse business environment.
  • Ability to work within a team and as an individual contributor in a fast-paced, changing environment.
  • Ability to leverage and/or engage others to accomplish projects.
  • Strong verbal and written communications with ability to effectively communicate at multiple levels in the organization.
  • Multitasks, prioritizes and meets deadlines in timely manner.
  • Strong organizational and follow-up skills, as well as attention to detail.
  • Ability to travel approximately 30%
