This position primarily supports the development department by overseeing gift processing, data entry, reporting and optimizing usage of the development database system.

Who you are:

This position manages Raiser’s Edge including prospects, individual and corporate donors, volunteers, foundations and other organizational records. In addition, the administrator works with all staff members to respond to information requests and to enhance the value and use of the information for all development programs, including creating analytical reports to assist staff in assessing their program results.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

DATABASE ADMINISTRATION:

  • Manages the database admin and data entry including but not limited to Raiser’s Edge, and SalsaLabs
  • Assist with processing, reporting on, and providing tax letters for weekly gifts through cash, check, credit card, or recurring donations.
  • Assist with database maintenance and clean-up on a regular basis
  • Maintain good communication with sponsors to assure timely and efficient completion of the project and proper communication between staff and sponsor.
  • Serve as the lead on Friends-Asking-Friends (peer-to-peer) fundraising software, creating pages for sponsors as needed.
  • Follow-up on any reporting / paperwork required by sponsor as per their commitment.
  • Assist with AHFH event coordination, including: fundraising events and sponsor recognition events.
  • Attend all sponsor-related AHFH project dedications to assist with sponsor recognition.
  • Develop policies and procedures to assure the accuracy and quality of information (data integrity).
  • Work with staff to identify their information needs.
  • Develop and maintain a high level and standard of service, providing information and user support for database systems.
  • Maintain an active relationship with the software system vendors and support services and work directly with them to promptly resolve issues and to implement improvements or changes.
  • Keep informed about product issues and developments. Recommend changes and enhancements to the advancement of systems and capabilities.
  • Assist with mail merges.
  • Compile reports and prepare summary report information for Deputy Director of Development
  • Attend and participate in weekly planning meetings, All Staff meetings, and other team meetings, as required.
  • Work with development staff members to establish and maintain donor acknowledgement services for timely reporting on gifts and to maintain strong donor relations.
  • Process, reconcile, and transmit donations and pledges that come in on a daily basis accurately and in a timely manner.
  • Plan and execute the full implementation of the current development database system. Optimize use of its functionalities to support fund-raising, constituent relations, and volunteer goals.
  • Assist as backup for Communications and Marketing teams
  • Attend 3rd Party Events as deemed necessary by Deputy Director of Development 
  • Develop an understanding of the development department’s programs and take a pro-active role to support them with electronic systems and analytic reporting.
  • Other duties as assigned.

More about you:

  • Two years of experience managing systems and support for development programs.
  • Understanding of fundraising support services ranging from prospect identification through donor stewardship.
  • Proven computer systems experience, knowledge and technical abilities to manage complex information systems and electronic databases in multi-user mini-computer, networked personal computer environments.
  • Strong organizational, verbal, and written communication skills.
  • Ability to develop procedures for database use and train technical and non-technical users.
  • Demonstrated ability to plan and implement major systems and systems implementation projects.
  • Ability and commitment to provide significant levels of support to users and development programs.
  • Demonstrated working knowledge of constituent data base management and administration.
  • Strong skills in Microsoft Office applications including: Word; Excel; Power Point.
  • Bachelor's Degree in Information Technology, Communications, Marketing, Business or related field, strongly preferred.
  • Experience with Raiser’s Edge strongly preferred.
  • A fundraising background that includes Annual, Capital, Government Grants, and Major Donor programs.
  • Working knowledge of non-profit organizations and program impact measurement.
  • Knowledge of IRS requirements in posting and acknowledging gifts.

    While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear; taste or smell. The employee must occasionally lift and/or move up to 35 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

    WORK ENVIRONMENT:

    Typical office environment. The noise level in the work environment is usually moderate.
