Job Description: Your job is to keep our office humming like a well-oiled machine. OpenSesame is a fast-growing company and as it evolves, so do the People team’s responsibilities. Your role includes answering phones, ordering catering, managing calendars, arranging meetings, sending customer gifts and more. Once we are back in person, you will be responsible for maintaining a clean and well-supplied office where people love to come to work. You know you are successful by the smiles on the faces of your co-workers and by grateful emails from our customers and partners.

Along with managing the day-to-day needs of the office, you’ll work closely with just about every department in the company from Sales to Strategic Partnerships to Executives / Founders. Whether you're working with Marketing to organize our annual conference or coordinating off-site meetings for our executive team, each day will provide new opportunities.   

There will always be opportunities to take on new projects and you should always be looking for ways to improve the office and experiences of those around you. If you have a great idea, speak up, and we can work together to bring your ideas to fruition. 

Requirements: You’re an ideal candidate for this position if you possess a can-do attitude and a desire to constantly improve your surroundings. You can manage multiple tasks simultaneously, from overseeing ongoing projects to executing priority tasks and tackling new assignments. You continually think outside the box to make your ideas a reality.  

  • Excellent business writing and phone skills
  • Outstanding organizational skills
  • Eagerness to jump into new projects with both feet
  • Experience in general office administration
  • A valid driver's license
  • Portland, Ore based

Other:

  • Comfortable balancing periods of little direction and periods of lots of direction
  • Good at prioritizing urgent & important tasks and requests over less urgent/important
  • Comfortable taking charge, making decisions, and showing initiative

At 30 days

  • Have a basic understanding of the company, the People team, and how to respond to internal FAQs
  • Comfortable answering the phone, routing callers, or taking messages
  • Feel comfortable with questions, taking initiative to solve problems
  • Established cadence of administrative OnBoarding tasks and scheduling

At 60 days

  • Helping with event planning and return-to-office logistics
  • Comfortable with daily operating procedures of remote office management
  • Comfortable taking direction from Executive leadership and beginning to anticipate needs
  • Start to brainstorm better ways to do things

At 90 days

  • Trusted, go-to person for office management requests
  • Able to make decisions and improve processes & day-to-day employee experience
  • Take the reins and decide how to improve office management processes
