We are looking to hire an Executive Assistant. The role of an Executive Assistant is important to the success of the executive and, as a result, the company. An Executive Assistant helps with tasks such as scheduling; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings and any other administrative tasks that help the executive perform their job.

Responsibilities:

  • Performs administrative functions for the Executive.
  • Acts as liaison between the Executive and entire Cleveland Clinic enterprise, patients and internal and external customers.
  • Performs duties such as scanning, copying, faxing, emailing, drafts/transcribes correspondence, development of PowerPoints presentations, and data analytics as required.
  • Handles department's incoming and outgoing correspondence including but not limited to USPS mail and respond accordingly update filing system accordingly.
  • Prepares materials, attend, and transcribe minutes at selected meetings as needed.
  • Enters PTO request in Kronos for Executive and oversee executive's direct reports Kronos and signs off on Kronos (payroll) twice a month.
  • Schedules and coordinates appointments, meetings and travel including but not limited to ground transportation for Executive.
  • Assists with planning and preparation of special functions (meetings, retreats, conferences, site visits, etc.) Books conference rooms and coordinates audiovisual equipment and assistance as needed. Attend events as needed.
  • Anticipates the needs for meeting, conference calls, interviews, etc.
  • Prepares special reports, summaries, and PowerPoint presentations as needed
  • Manages and submits reimbursement for mileage and all other expenses in Concur on behalf of the Executive.
  • Submit days away in ARMS as needed for Executive if applicable
  • Ensures the administrative functions are carried out promptly; deadlines are noted and met for efficient operation of the function.
  • Handles all incoming telephone calls for the Executive and Department, with courteous response to all internal and external customers and accurate recording and handling of telephone messages.
  • Researches complaints and forwards to appropriate person for their review and coordinate resolution with other caregivers as needed.
  • Maintains and restocks departmental office supplies.
  • Establishes and maintains filing system and safekeeping of computer files.
  • Maintains confidentiality of information whether disclosed to employee in writing, orally, electronically or visually, or otherwise accessible to Employee, in any format, relative to the business.
  • Other duties as assigned.

Education:

  • Associates Degree or training and experience that are equivalent.
  • Customer service oriented, both internal and external customers.
  • Needs to show empathy toward Cleveland Clinic Hospital external customers in need of assistance.
  • Must have excellent communication skills, both oral and written.
  • Must be able to organize and prioritize tasks in an efficient manner.
  • Experience with Microsoft Office Suite, specifically Word, Excel and PowerPoint. Type 40-59 wpm.
  • Must display professional demeanor and adhere to all hospital and departmental policies and procedures as established, and any further additions.

Work Experience:

  • Minimum of five years of secretarial experience at an executive level. Bachelor's degree or higher can substitute for educational requirements or experience. Must be proficient in the use of Windows 7 or 10 Operating System and Microsoft Office Software. Must use experience and judgment to plan and accomplish goals.

Physical Requirements:

  • Ability to perform work in a stationary position for extended periods
  • Ability to operate a computer and other office equipment
  • Ability to communicate and exchange accurate information

Personal Protective Equipment:

  • Follows Standard Precautions using personal protective equipment as required for procedures.
