The Interim Residence Director (RD)  and Coordinator of Student Affairs position is responsible for the supervision of a student staff of approximately 6 – 8 resident assistants. The RD works closely with the other professional residence life staff in ensuring the successful implementation of the residence life program and appropriate operations of the residence halls. The RD serves as a primary contact and responder to crisis situations. The position also will be assigned to a functional area within Student Affairs to help coordinate programs and events.Staff Supervision: Supervise all GAs (Graduate Assistants) and RAs (Resident Assistants) within Oak & Hickory Halls
  • Participate in planning, coordinating, and presenting RA training
  • Meet with residence hall staff, weekly, to disseminate information, discuss problems, concerns and opportunities, and engage in staff development
  • Meet with staff members individually at least biweekly to discuss building and individual problems, concerns, opportunities, plan programming, and discuss other pertinent issues aimed at assisting them to develop the skills necessary to work effectively
  • Prepare, provide, and review with each staff a formal performance evaluation at least once each semester
  • Schedule, assign, and monitor duty
  • Ensure that each staff member has signed the staff ethics and responsibility agreement and review their compliance at weekly staff meetings
  • Supervise staff activities and address staff behavior by conducting a meeting and following up with appropriate documentation, communication, written notification of results and follow-up
  • Maintain staff personnel records including group and individual meeting agendas and notes, instructions, reprimands, conduct, progress reports, incident reports, and evaluations
  • Provide staff with resources which assist in their successfully completing their responsibilities including ideas, folios, office supplies, etc.
Programming: Work closely with students and staff in coordinating and implementing social, recreational, and educational programs within the residence hall system
  • Train, instruct and guide staff with their program responsibilities
  • Counsel staff on program scheduling, ideas, planning, carry through and assessment
  • Ensure that staff complete appropriate program planning and assessment forms
  • Utilize programming model to ensure staff satisfy requirements and help guide you in directing staff programs
  • Attend staff programs when appropriate
  • Oversee the expenditure of money used for programming to ensure effective and appropriate use, monitoring the purchase, processing and submission of receipts
  • Assist in development/preparation/presentation of annually required budgets to the SGA Council on Finance
  • Incorporate and adhere to programming initiatives and directives established by the department
  • Participate in meetings where programming, the programming model, assessment, outcomes, and training is discussed
Student Development
  • Serve as a resource to staff and students concerning the University and its policies, procedures and functions
  • Collect and make available to staff and students informational brochures, pamphlets, forms etc. related to the University and concerns of students
  • Assist students in the resolution of their personal, social, career, and academic problems and concerns
  • Document formal interactions with individual or groups of students and parents
  • Procure and/or develop educational and informational materials for dissemination to staff and students
  • Encourage faculty/staff contact with student outside of the classroom encouraging RAs to program specific interventions and initiatives
  • Conduct student interviews, surveys and focus groups as assigned or as necessary
  • Evaluate students’ academic status at specified times throughout the year and make referrals to advisors, Learning Resource Center, or other appropriate support agencies
  • Visit each floor regularly to talk to staff and students about their experience in the residence hall and university including, concerns, ideas, facilities, RA, and community
  • Provide personal assistance and intervention to students, parents, staff, faculty, administration, or the community regarding problems or situations related to the operation or condition of the facilities, residence life or residents
Crisis Management
  • Serve as primary responder to emergencies/life threatening situations (fires, power or water outages, assaults, etc.)
  • Train staff to respond to crisis situations
  • Follow through with referrals and follow-ups, notifying appropriate department staff immediately, depending on the nature of the incident
  • Write and submit appropriate documentation
Conduct
  • Enforce policy and procedure by addressing and documenting violations when witnessing or being made aware of them
  • Train staff in compliance and how to address and document violations of policy. Advise/counsel staff regarding enforcement strategies
  • Schedule hearings appropriately, administrative within or with a hearing board. Refer more serious cases to the Chief Judicial Officer and/or the Dean of Students
  • Conduct administrative hearings with students on all documented minor violations of policy
  • Document proceedings and generate appropriate sanction letters utilizing the University’s Conduct Management System (Maxient).  Enter case specifics into Maxient
  • Follow up to ensure compliance with conduct sanctions 
  • Seek counsel from other professional staff involved with judicial as needed and communicate with senior staff/ appropriate authorities about conduct situations of significant nature

Facility Maintenance, Custodial Management & Administrative
  • Report and submit work orders to Adirondack – Maintenance as noticed. Address residence hall facility needs and concerns to the Operations Manager and/or Student Living Director
  • Meet regularly with custodial and maintenance staff to discuss facility needs and concerns and tour the building if necessary
  • Review, monitor and manage work order flow putting into place a system that tracks work orders from inception to completion and result in customer contact/satisfaction assurance
  • Train student staff on work order process
  • During opening/closing process: plan, schedule and coordinate facilities punch list and make ready procedures in cooperation with facilities maintenance
  • During opening/closing process: oversee make ready and other facility maintenance procedures to ensure halls are ready for opening
  • During opening/closing process: conduct regular rounds to ensure satisfactory progress
  • Submit semester schedules one week prior to the beginning of each semester
  • Submit overtime sheet by 4:00 p.m. Friday of the current pay period
  • Attend and participate in weekly staff meetings   
  • Attend and participate in University committees as assigned
  • Attend and participate in University activities as assigned
  • Maintain office records including conduct and incident reports, sanction communication, staff personnel files, record, resources, occupancy reports, monthly reports, logs and meeting notes etc.
  • Prepare, write, and submit reports concerning facilities, operations, and residence life issues related to the residence hall(s) as directed
  • Select and order office, facilities, and residence life supplies, as needed
  • Request and recommend supplies, equipment, tools, and innovations for facilities and residence life improvements
  • Recognize and address health and safety issues by correcting the issue, alerting appropriate officials of the issue, and/or documenting the issue
  • Assess the needs of students in the halls and make recommendations when necessary to department supervisors
  • Plan and coordinate Residence Hall opening and closing according to established procedure
  • Prepare, write, and submit reports concerning facilities, operations, and residence life issues related to the residence hall(s) as directed
  • Complete bimonthly rounds of the interior and exterior of the building, documenting inventory, maintenance and custodial deficiencies and needs, generate and submit appropriate work orders, and communicate ongoing problems to the appropriate party and supervisor
  • Monitor and evaluate the policy, procedure, practice and operation of the front desks in each hall including staffing, mail delivery, equipment checkout/in, and services
  • Assist with orientation activities and related programming
  • Participate in rotational on-call duty
  • Perform other duties as assigned
Coordinator of Student Affairs (collateral assignment in a functional area of Student Affairs outside of residence life)
  • Recruit, select and hire student staff as appropriate and necessary in the assigned functional area of the collateral assignment
  • Provide training, scheduling and supervision of student staff as appropriate
  • Prepare and conduct a formal performance evaluation of student staff at least once each semester
  • Plan, develop, implement and evaluate program events and/or activities appropriate for the functional area of the collateral assignment
  • Market programs and activities outside the residence halls
  • Assist with facility/building requests and reservations
  • Schedule, manage and organize administrative operations in the functional area of the collateral assignment
  • Perform other duties as assigned

FISCAL RESPONSBILITY
Monitors residence hall budget and expenditures including RA Programming Budget, Supplies Budget, etc. to ensure budget is not overdrawn before year-end.
            

SUPERVISORY RESPONSBILITY
Supervises Resident Assistants and Student WorkersMinimum Experience and Training:
Undergraduate degree in related field; Master’s preferred 
Experience in residence hall administration

Applicants will be rated on the following criteria:
1. Master's Degree in related field.
2. Demonstrated professional experience working in Residence Life.
3. Demonstration of knowledge in event planning, programming and team building.
4. Demonstrated experience working on a nightly duty rotation
5. Demonstrated experience working with student conduct.
6. Demonstrated experience supervising student staff workers.

This is a temporary, full-time, (37.5 hours per week) 12 month position. Anticipated appointment: May 2021 - May 2022, benefits eligible.

Salary is in accordance with the SCUPA Collective Bargaining Agreement: $42,778.00 annually.
