What does an Office Manager do at companies like 180 HEALTH PARTNERS?

The Sage Office Manager will provide leadership, direction, team management and administration of operations for the clinic. This role also involves active collaboration with 180 Health Partners Operations, IT, Business Development, Network Management, Clinical Director, Counselors and other office staff.

This role requires an individual who is a natural leader, someone who is enthusiastic, service-oriented, resourceful, and results driven with the ability to thrive in a fast-paced environment.

In this role, you will be supporting 180 Health Partners with management of the StrongWell office, and directly report to the Chief Operating Officer in all matters other than HR. For all HR items you will work directly with the VP of Human Resources.  

Responsibilities

  • Provide direct support to Director of Operations/COO, Business Development, Network Management, Clinical Director, all office staff, counselors, visitors, vendors, interns, and new hires
  • Plan, develop, organize, implement and direct the day-to-day functions of the clinic and activities to ensure compliance, efficiency, and patient satisfaction
  • Manage staff performance including supervising, coaching/counseling office staff daily and interviewing and training new staff; lead by example modeling a healthy office environment and communication
  • Responsible for overall office management of Sage Social Services as an extension of 180 Health Partners, including but not limited to the tasks below:
    • Operations:
      • Referrals are assigned to a clinician and scheduled
        • During patient’s initial call (>95%)
        • Minimum within 8 business hours of initial referral
      • Collect co-pay, deductible, session payment
        • At check in, prior to session (>98%)
        • Minimum within 8 business hours after appointment (= 100%)
      • All appointments receive appointment reminders, occurs via text or call
        • First reminder 48-72 hours prior to visit (= 100%)
        • Second reminder 12-24 hours prior to visit (=100%)
        • Cancellations, rescheduling will occur immediately (>85%)
        • Cancellations, reschedule will occur within 8 business hours (>98%)
      • Therapy Session room reservations will be recorded online
        • Immediately (> 98%)
        • Within 10 min of change of status (= 100%)
      • Ensure insurance is verified prior to the session
      • Ensure office staff schedules meet the needs of the clinic and counselors
      • Maintain Therapy Notes calendar to include holidays and clinician availability
      • Support new business initiatives
      • Propose, obtain approval, and implement process improvements
      • Escalate operational issues to Director of Operations/COO (such as staffing, scheduling, billing, credentialing)
    • Misc.
      • Maintain excellent punctuality and attendance during work hours.
      • Other duties as assigned.

Qualifications

Required:

  • 2+ years in a healthcare or clinic setting.
  • Minimum high school diploma.
  • Ability to problem solve in a proactive, creative manner while meeting deadlines.
  • Ability to work independently within a virtual operating environment and as part of a team.
  • Excellent communication skills.
  • Reliable transportation and valid driver’s license.
  • Computer proficiency; must be able to type and navigate a Cloud-based environment and designated teleconferencing application.
  • Advanced skills with Microsoft Office – Word, Excel, Outlook, etc.
  • Advanced skills using practice management and EMR software

Preferred:

  • Prior leadership or management experience in a behavioral health practice
  • Experience managing providers
  • Insurance verification
  • Experience with TherapyNotes and Salesforce.com
  • Familiarity with Medicaid/Medicare/Commercial Insurance practices
