Job Description

Position Summary:

The Creative Coordinator is responsible for the management of select projects across the 160over90 network – mainly facilitating communication between the Client Management and Design teams. Key responsibilities include: guiding projects through the briefing and creative process, assisting with resource allocation, asset and content curation, scheduling and facilitating reviews, approvals, and delivery of final assets.

A successful Creative Coordinator will be hyper-organized and passionate about learning the creative and design processes. This person will also be comfortable working in a fast-paced, creatively-diverse group. He/she will lead the organization and collection of requirements/assets/information for each project, update and clearly communicate project status and ensure deadlines are met. The Creative Coordinator will report to the Head of Creative Operations, sits on the Project Management team working directly with the Creative team and Design Studio.

Essential Functions & Responsibilities:   

  • Serving as the point of contact for design requests from across the network: receiving, organizing, and initiating work – while developing and maintaining project management workflows and creative work.
  • Assist the heads of Creative Operations & Design Studio with implementation and execution of creative/design team project plans; including scheduling review meetings, defining and communicating feedback cycles, and consistently following-up to ensure that projects are on track.
  • Coordinate with other departments, account teams, and key stakeholders to ensure that any additional needs of the design teams are clearly defined, planned, and executed appropriately based on each incoming project request.
  • Document meetings and follow up with individuals or teams for proper next steps after kick-offs, reviews, etc.
  • Oversee the operations and processes that are needed for each unique project.
  • Move design jobs through internal routing and track the stages and priorities for each project to ensure all projects are on time and flag when there are concerns with scope
  • Help to identify competing priorities among creative team to ensure focus is being placed on the right projects at the right time
  • Proactively identify and escalate potential problems regarding timing, prioritizations and clarity on project deliverables to creative services managers 
  • Work with cross functional team on developing and communicating timelines
  • Assist in scheduling kickoffs, run-throughs, statuses, and recap meetings in order to provide internal teams with necessary support and direction
  • Send regular updates to stakeholders regarding project status in addition to communicating updates in weekly/as-necessary functional meetings.

Knowledge, Skills and Abilities:

  • Strengths in prioritization and time management – ability to build out timelines, breakout a phased approach to projects, and schedule internal reviews for creative teams
  • Ability to manage day-to-day relationships with account teams and other divisions within Endeavor
  • Ability to problem-solve independently and in groups
  • Ability to multitask and manage multiple projects in a fast-pace environment
  • Collaborative team player that takes initiative
  • Exceptional attention to detail and organizational skills
  • A deep investment and interest in the work – needs to be proud of the process and output, must care
  • Ability to communicate professionally and clearly through email and in-person
  • Fluency with Keynote, PowerPoint, and Excel
